OFFICE MANAGER/HUMAN RESOURCES ASSISTANT

Job Title: Office Manager/HR Assistant

Department: Office of Human Resources

Salary: $35,000

FLSA Status: Exempt

Basic Job Functions and Responsibilities:

Under the direction of the Human Resources Director, the Institute for the Advancement of Minority Health is seeking an experienced and detail-oriented Office Manager/HR Assistant to join our team. The successful candidate will be responsible for overseeing the daily operations of our office, managing administrative tasks, and providing support to the Human Resources department. This position requires strong organizational and communication skills, as well as the ability to work independently and handle multiple tasks simultaneously.

Essential Duties and Responsibilities:

  • Manage office operations and ensure the smooth running of the day-to-day activities
  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement
  • Develop and maintain relationships with vendors, service providers, and office supply companies
  • Manage administrative tasks such as filing, record-keeping, and data entry
  • Provide support to the HR department, including coordinating the recruitment process, maintaining employee records, and assisting with benefits administration
  • Oversee the general maintenance and upkeep of the office, including managing office supplies and equipment
  • Daily monitoring of incoming and outgoing mail and packages, including logging and saving of packing slips
  • Monthly inventory of office supplies and materials
  • Retrieval of monthly Wal-Mart order
  • Creation and management of daily cleaning schedule
  • Weekly meetings with the supervisor
  • Point person for the storage and building hardcopy keys
  • Management of office equipment and reporting of any discrepancies to the supervisor
  • Management and reporting of any needed building repairs
  • Assistance in maintaining all HR policies and reporting of workplace injuries to HR
  • Provision of general support to all visitors
  • Assistance in planning in-house and off-site events
  • Assistance in picking up printed material
  • Respond to inquiries from employees and visitors in a courteous and professional manner
  • Assist with the recruitment process, including posting job vacancies, screening resumes, and scheduling interviews
  • Maintain accurate employee records, including personal information, attendance, and performance evaluations
  • Assist with benefits administration, including enrollments, terminations, and changes
  • Coordinate training sessions and other company events
  • Prepare reports and presentations as required by management

SUPERVISION RECEIVED

Administrative and/or functional supervision is received from the Director of Human Resources

SUPERVISION EXERCISED

Non-supervisory position.

Qualifications:

  • Bachelor's Degree in Business Administration, Human Resources, or related field
  • Minimum of 2 years of experience in office management and/or human resources
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint
  • Excellent organizational and communication skills
  • Ability to work independently and prioritize tasks effectively
  • Knowledge of HR practices and employment laws

● Work is performed indoors but requires frequent travel from one location to another to perform essential duties.

● Position requires frequent use of computers, phones, copies and fax machines.

● Must occasionally lift and/or move up to 25 pounds.

Bachelor's Degree in Business Administration, Human Resources, or related field
