Impact Health is Hiring an Office Coordinator Near Asheville, NC

ABOUT IMPACT HEALTH
Impact Health is a dynamic start-up entity created to lead Western North Carolina’s (WNC’s) participation in the North Carolina’s Healthy Opportunities Pilot program for Medicaid.
Functioning as the Network Lead for WNC’s Healthy Opportunities Pilot, Impact Health:
  • Serves as a connection between the NCDHHS, private health plans, and human service organizations (HSOs) participating in the pilot.
  • Oversees the WNC HSO network.
  • Supports capacity building, training, technical assistance and convenings for HSOs.
  • Reviews HSO invoices and forwards them to the correct private health plan.
  • Collects and reports data to inform evaluation efforts.
Impact Health serves a network of HSOs that provide housing, transportation, food, and interpersonal safety services. Our network HSOs provide services to HOP participants who are eligible Medicaid Managed Care members.
SUMMARY
This public-facing position is often the first point of contact for Impact Health with partners, vendors, and members of the community. The Office Coordinator, reporting to the Executive Assistant to the Executive Director, coordinates Impact Health’s activities relating to office administration and facilities, and supports team members with daily functions and a variety of ad hoc projects.
THE ROLE
Office Administration
  • Answer general inquiries received by phone, email and in-person visitors, or direct inquiries to the appropriate team member.
  • Purchase and maintain inventory of office supplies and place orders to support various departmental needs.
  • Organize and maintain digital files, records, and online spaces, as needed.
  • Support team members with filing, mail, data entry, and technology needs.
  • Process and mail printed materials requests from the network and community.
  • Assist with onboarding new hires and training them on various electronic platforms and office procedures.
  • Provide resources, education, and training to staff on various platforms, audio and visual conference room technology, and office equipment.
  • Coordinate catering, technology, and other logistical support for meetings and team events.
  • Support leaders with scheduling needs.
  • Purchase gifts for community partners, board members, candidates and staff as needed.
  • Receive all office deliveries and distribute them appropriately.
  • Manage conference room and office bookings.
  • Maintain a clean and organized workspace including the upkeep of the conference room and common areas.
  • Support the Executive Assistant with materials and minutes for Board meetings, as needed.
Event Support
  • Schedule and coordinate arrangements for internal and external meetings and special events, including space reservations, room coordination, A/V setup, catering, and cleanup.
  • Provide logistical support for Network outreach programs, including on-site visits, mailings, community convenings, and tabling events.
Facilities
  • Assist the Facilities team with the ongoing management of the building.
  • Coordinate necessary building walk-throughs with outside vendors including IT, maintenance, and security.
  • Communicate with outside vendors and share information related to maintenance schedules and appointments as needed.
  • Submit tickets for facility needs and facilitate
  • Ensure security and emergency preparedness procedures are implemented properly.

Education/Certification
  • High School Diploma or equivalent required.
Work Experience
Required:
  • At least two years’ experience in an office administration role, office manager role, or equivalent experience.
  • Experience in customer service, public-facing roles.
Preferred:
  • Experience in a healthcare or community services setting.
