Position Overview: Manage and supervise the payroll department; ensuring all payrolls run properly and are completed. Review various payroll reports to ensure accuracy and timeliness of payroll processes and to resolve problems. Provide assistance to the Vice President of Human Resources and employees to include answering departmental questions and resolving errors. Ensure payroll taxes and court checks are properly filed and/or paid in compliance with current payroll tax or other laws. Develop and maintain procedures that help to minimize errors and streamline department processes / procedures. Provide training to staff to insure procedures are followed. Work directly with accounting to maintain needed analytical reports, monthly re-class entries, general ledger structure. 

Essential Job Functions

• Manage weekly payroll process and departmental reports for all companies within the IMCC Enterprise
• Process wage assignments and legal levies against wages and insure timely payment to courts
• Maintain employee’s master file for changes and new hires
• Record Retention
• W2’s preparation, balancing, and distribution
• Provide guidance to the department in areas such as organization and procedures
• Supervise / Manage subordinate personnel: determine workload and delegate assignments, training, monitoring, and evaluating performance along with initiating corrective or disciplinary actions, attendance calendar
• Monitor and evaluate operations, programs, processes for quality and effectiveness – make recommendations for improvement
• Work closely with HR to implement and improve processes – along with special projects
• ADP Workforce Admin experience (setting up profiles, GL mappings within the system, security management, validation tables). Ideally, this would be a person that has been a one person show that has extensive experience in all areas of the system.
• Knowledge of multi-state payroll knowledge to include California
• Supervisory experience training and developing team
• Ability to work independently while multitasking and successfully prioritizing
• Must be flexible and able to work in areas where there is ambiguity

Job Requirements

• Hands on experience running payrolls in ADP Workforce now; one can only audit if they understand the processes and requirements
• Advanced excel skills as we manage multiple spreadsheets using formulas, pivot tables, and v lookups
• Highly organized with the ability to manage multiple priorities in a fast-paced environment
• Ability to read, interpret and apply laws, rules, regulations, policies and / or procedures – insure compliant with current labor laws and taxes
• Ability to communicate and supervise others
• Ability to show sensitivity, tact, and professionalism with a goal of maintaining the department’s integrity
• Ability to make a decision or problem solve by using logic
• Sound Background in payroll or CPP certification
• Accounting
