Job Overview

The Illinois Environmental Protection Agency (EPA), Office Assistant, Option 2 to perform duties for the technical/professional staff in the Administrative Support Section, Bureau of Water (BOW). The ideal candidate for this position will be organized, detailed, and possess the ability to adapt to change in a collaborative, fast paced environment. The ideal candidate will also need to be able to communicate effectively verbally, electronically and in writing with both internal and external stakeholders.

Essential Functions

30% 1. Performs a variety of difficult and responsible clerical functions utilizing a personal computer, electronic typewriter, and related office machinery/equipment for the technical/professional staff in the Administrative Support Section, Bureau of Water (BOW);

  • Receives, screens, and directs incoming telephone calls.
  • Transcribes messages, provides non-technical information and assistance, transfers and directs technical questions to appropriate Agency staff or proper authority.
  • Schedules and /or cancels appointments for technical/professional staff

25% 2. Performs clerical duties utilizing a personal computer and/or electronic typewriter;

  • Keyboards a variety of material from handwritten drafts and/or hard copy including: reports, correspondence, memos, and forms for professional staff.
  • Proofreads material for accuracy of spelling, grammar, punctuation, format, etc.

20% 3. Handles mail correspondence for the Bureau of Water;

  • Receives, opens, sorts, and distributes incoming mail.
  • Mails out all outgoing correspondence for the BOW.

Essential Functions - Continued

10% 4. Monitors various office supplies for the Bureau of Water:

  • Monitors the supply of general office supplies necessary for daily operations, including but not limited to copy paper, envelopes, etc.
  • Compiles and creates orders for supervisor approval.

10% 5. Operates a variety of office machinery/equipment utilized to send or receive electronic mail, to duplicate or print typed or written materials;

  • Utilizes a personal computer, copiers/printers/scanners (e.g., changes cartridges, clears jams and add paper as required), calculators and electronic typewriters.

05% 6. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  1. Requires knowledge, skill, and mental development equivalent to completion of high school and one year of related office experience.
  2. Requires skill in keyboarding accurately at 35 words per minute.

Preferred Qualifications (In Order of Significance)

  1. Prefers working knowledge of alpha-numeric sequencing.
  2. Prefers working knowledge of office practices, procedures, and programs.
  3. Prefers working knowledge of grammar, spelling, and punctuation.
  4. Prefers working knowledge of basic mathematics.
  5. Prefers ability to follow oral and/or written instructions.
  6. Prefers ability to operate commonly used manual and automated office equipment and perform routine maintenance.
  7. Prefers the ability to utilize a personal computer with knowledge of Microsoft Word, Access, and Excel software.
