Reporting to the Supervisor, provides clerical support to the Director, Department Supervisor, and professional staff of the department. Daily work includes gathering information and responding to inquiries, decision making, interpretation and application of agency and department policies and procedures.


DUTIES AND RESPONSIBILITIES:

  • Provides clerical support to the Director, Department Supervisor, and professional staff of the department.
  • Schedules all meetings with internal and external clients, receives and announces visiting officials.
  • Prepares all department administration activity transactions and spending requests in Management Information Database Accounting System (MIDAS) for Director approval.
  • Assists in the preparation of correspondence, presentations, reports.
  • Takes minutes for meetings, duplicates and delivers materials as directed.
  • Prepares itineraries, arranges transportation and lodging for the Director and Supervisor.
  • Enters all travel information for the department in the MIDAS system for reimbursement.
  • Serves as the official timekeeper for the department.
  • Records all daily timekeeping transactions, performs monthly and yearly reconciliations of all employee timesheets and maintains all documentation for audit purposes.
  • Performs activities of a confidential nature that include maintaining employee evaluations and personnel records, scheduling interviews and coordinating Family Medical Leave Act information.
  • Assists the receptionist in answering the primary department phone line.
  • Provides administrative support to the Illinois Purchased Care Review Board (IPCRB) staff in the department.
  • Attends monthly board meetings, records minutes and board action, posts agenda and approved minutes to the IPCRB website.
  • Serves as department web liaison.
  • Prepares cash receipts listing as needed.
  • Updates department file on grant authorization forms approved in expenditure review meetings.
  • Maintains files of important correspondence and legislative bill reviews.
  • Serves as the inventory clerk for the department, maintaining inventory records, documenting all inventory movements and ensuring inventory control procedures are followed.
  • Prepares and submits all purchase requisitions and orders all department office supplies.
  • In coordination with the Agency's records management coordinator, serves as department liaison for records management.
  • Performs other duties as assigned.

REQUIRED QUALIFICATIONS:

  • High school diploma or equivalent.
  • Two years of progressively responsible secretarial or programmatic experience in an office setting involving typing, computer work, and/or other specialized training.
  • Extensive knowledge of office practices and procedures.
  • Ability to problem solve.
  • Excellent written and verbal communication skills.
  • Extensive knowledge of grammar, spelling and punctuation.
  • Must be highly organized and able to comprehend and interpret policies and processes.
  • Must possess working knowledge of office software including Microsoft Excel, Word and PowerPoint.

PREFERRED QUALIFICATIONS:

  • Some college or technical training.
  • Experience coordinating clerical and office procedures for a large department.
  • Knowledge of agency programs, rules and policies.
