Description

Job Summary

This position provides project management support, operations analysis, and assistance with portfolio management for some of IEEE Computer Society's periodicals and the volunteer communities that drive them.

  • The incumbent writes, edits, and helps coordinate and select Society-generated content items for Computer magazine and ComputingEdge (namely, a monthly content summary, occasional member-related news, and annual election materials);
  • incumbent will assemble or oversee the assembly of ComputingEdge issues as needed or serve as backup during absences to ensure timely publication;
  • incumbent will have primary responsibility for governance and operations support for a select number of periodicals and / or cosponsored publications, which will include facilitating Periodicals Review and Advisory Committee (PRAC)reviews, Editor in Chief (EIC) searches and reappointments, and handling of Steering Committee composition and recordkeeping for cosponsored publications, and other related tasks;
  • incumbent will contribute to the creation, organization, and update of publication resource webpages for contributors and departmental workflow documentation;
  • incumbent will communicate with authors, editors, or other stakeholders about content development and submission, as well as authorship and editorial best practices;

and incumbent will take on additional tasks related to special projects or products and serve as backup on specific tasks for the Periodicals Portfolio Senior Managers.

The role typically reports to a manager and manages no direct reports. This position works under light supervision.

Key Responsibilities

Production oversight of ComputingEdge and proof checking of magazine issues - Incumbent will assist in maintaining a list of available and used content for Computing Edge or other digests and newsletters, and will proofread ComputingEdge as well as some other magazine issues before they go to press.

Incumbent will also serve as backup for ComputingEdge issue composition as needed to cover vacation and absences.

Content handling for Society-generated content in Computer and ComputingEdge - Writing, editing, and / or helping collect and coordinate select Society-generated content for Computer and ComputingEdge.

This will include a monthly content summary, coordinating election materials annually, member-related news for inclusion in the magazine(s).

Authorship best practices and publication policy compliance matters - Reviewing plagiarism detection reports for new submissions and recommend further review for rejection or misconduct investigation as needed.

Determining whether the level of overlap meets a threshold for further action, triaging and escalating cases as appropriate to the peer review administrator and / or the Compliance Manager, and communicating with authors and editors about next steps when appropriate.

  • Portfolio management - Provide governance and operations support for assigned publications, including acting as the primary staff contact for questions about policies or best practices;
  • monitoring content flow and timeliness and escalating concerns as needed; facilitating changes to page budgets, frequency, or scope;

and attending Editorial Board meetings. In addition, for assigned publications, incumbent will facilitate EIC searches and reappointments, and will coordinate updates to Steering Committee composition and recordkeeping for cosponsored publications.

Website content and documentation creation, maintenance, and oversight - Work with the publications team and other stakeholders to help organize and maintain related resource and information webpages for contributors, as well as internal departmental workflow and policy documentation.

This includes content relating to editorial boards, calls for papers, special issue proposals, editorial calendars, announcements, and so on.

  • Content tracking and special issue coordination - As part of a team, complete specific tasks related to special issues, including posting Calls for Papers on the Computer Society Website, creating and managing listservs, and updating information in shared calendars.
  • Volunteer management and support - Work with volunteer guest editors and EICs, MOC / TOC chairs, and the VP of Publications on specific projects, including preparing and analyzing data to facilitate the preparation of documentation for each publication’s five-year TAB Periodicals Review.
  • Serves as backup to the Periodicals Portfolio Senior Managers as needed.
  • Completes other duties as assigned

Qualifications

Education

Bachelor's degree or equivalent experience English or other relevant technical field Req

Work Experience

4-7 years editorial and project management experience, preferably in one or more STEM content areas, association management, scholarly publishing, print or web production, or related fields. Req

Skills and Requirements

  • Working knowledge of online platforms like WordPress, ScholarOne, listserv, and Google apps
  • Must possess excellent language and editing skills, and must be highly organized and able to document processes and procedures.
  • Demonstrated publishing or communications experience, including academic or scholarly publishing, along with online or digital production and design
  • Must possess strong interpersonal skills, including the ability to work diplomatically and tactfully with volunteers, staff and volunteer leadership, as well as authors and vendors;

must be able to set and enforce deadlines, set expectations, and provide feedback and encourage appropriate action to ensure timeliness and quality

  • Must be able to use content management systems and be able to learn computer systems associated with editorial and Web activities, and to seek out technology solutions to business challenges
  • Must have strong facility with word-processing, spreadsheet, presentation, email, and database computer programs
  • Must be able to work in a team environment, participate in joint projects and efforts, to provide input and assistance in the publications department as well as to other departments within the organization.
  • Ability to organize and manage projects and ensure a high attention to detail
  • Knowledge of the computing, engineering, and software engineering fields / industries, along with related terminology industry
