Job Summary
MOVE (Mobile Outreach using Volunteer Engagement) Global is an emergency response program committed to assisting natural disaster relief workers with short-term communications and power solutions. These temporary emergency relief provisions assist first responders with phone charging, internet & communications support, lighting, and power. The MOVE Global program generally works in coordination with partners such as the American Red Cross. Additionally, when not deployed, the MOVE Global assets are employed by volunteers to conduct community outreach and facilitate learning opportunities for students and the general public in the areas of STEM (Science, Technology, Engineering, and Math). The MOVE Global Committee (MGC) is under the IEEE Humanitarian Technologies Board (HTB). The MGC supports the broad vision of IEEE volunteers around the world carrying out and/or supporting MOVE Global programs implemented at the geographic level. The overall purpose of this position is to ensure staff support in the day-to-day operations of the MOVE Global program and its committee which includes support in the program management, operations, marketing, fundraising and strategic planning.
This role reports to the Senior Director and will work in close partnership with the Director, as well as work very closely with the leadership team of the MOVE Global Committee (MGC) and the Humanitarian Technologies Board (HTB). This role does not have direct reports.
Key Responsibilities
  • Program Management and Operations:
    • Supports the MOVE volunteers on the execution of the program and be the lead in the day-to-day operations of the MOVE Global Committee (MGC) which entails tracking of tasks, improving processes, support in the deployment of the MOVE units, among others.
    • Develops and implement strategies to optimize program efficiency and impact metrics to track progress and ensure scale.
    • Supports budget tracking, monitoring expenditures, approving out-of-budget expenditures while ensuring adherence to HTB guidelines and financial sustainability.
    • Coordinates the requests of expansion to new geographies which includes feasibility studies, budget requirements, and volunteer support to ensure the continued success of the program at scale.
    • Determines the gaps of the program and monitor and evaluate program performance to strategize on improvements, as well as leading the creation of new processes as the program grows to ensure efficiency and successful deployment.
    • Collaborates with cross-functional teams to ensure successful program outcomes.
    • Support administrative work related to event planning and management.
    • Oversees the use of the MOVE brand by groups and regions, including the ongoing training of MOVE volunteers in carrying out this meaning work especially in the areas of risk management.
    • Reviews and monitor agreements in relation to the creation or maintenance of the MOVE Global program in current locations and in new locations.
    • Supports the update and maintenance of the IEEE MOVE Global Guidance Manual with details of the operation of the program.
    • Drafts best practices and training material for the incoming MOVE Volunteers of the current and new locations.
    • Provides regular updates and reports on the progress of the MOVE program to the Humanitarian Technologies board ensuring transparency and accountability in program reporting.
    • Evaluation of funding proposals for projects to be carried out at the local level.
    • Support in the creation and sharing of basic STEM activities for various age groups carried out during the low season.
    • Provides additional program management support for any other HTB programs and initiatives as directed by the Senior Director.
  • Fundraising and Marketing Support:
    • Works closely with the Director and Senior Director to support fundraising and marketing initiatives aligned to MOVE Global and IEEE Foundation agreed objectives.
    • Contributes to the development of fundraising strategies and campaigns considering the financial gaps and opportunities.
    • Assist in the creation and execution of marketing plans to promote the MOVE Global program which includes but is not limited to website updates, newsletters, and social media.
    • Develops decks for the volunteers to showcase the program achievements to increase visibility and volunteer engagement.
    • Updates and create content showcasing the progress and successes of the MOVE Global program to increase online visibility and reach fundraising goals.
    • Identify and engage potential donors, sponsors, and partners alongside the Senior Director and Director to secure growth and scale of the program.
  • Support the Strategic Planning:
    • Collaborates with the senior volunteers and senior staff in developing and executing the strategic vision for the MOVE program aligned to HTB’s strategic areas of focus.
    • Contributes to strategic planning efforts driven by the MOVE Global Committee (MGC) to ensure the program's long-term success and sustainability.
QualificationsEducation
  • Bachelor's degree or equivalent experience Preferably in Public Administration, Business, Marketing, or International Relations Req
  • Master's or other advanced degree Pref
Work Experience
  • 4-7 years At least 4 years of experience in fundraising preferred Pref
  • At least 4 years of demonstrated experience in stakeholder management. Experience in developing and managing relationships with volunteers is a plus. Pref
  • Experience and understanding of digital marketing is a plus. Pref
Skills and Requirements
  • Robust project management skills with a proven track record of successfully implementing programs.
  • Comprehensive understanding of financial management, budgeting, and practices ensuring financial sustainability.
  • Demonstrated success in supporting fundraising efforts, including coordinating marketing campaigns aligned with fundraising objectives, and effective stakeholder engagement. Experience in grant writing is a plus.
  • Proficiency in designing and executing online presence campaigns through various mediums such as newsletters, websites, social media, etc.
  • Exceptional communication and interpersonal skills.
  • Proven ability to manage stakeholders effectively, including volunteers and external partners.
  • Experience collaborating in diverse teams and working with a variety of stakeholders.
  • Capable of balancing multiple tasks and priorities, able to work both independently and within a team setting with minimal supervision.
  • Preferred experience with non-profit or volunteer-led organizations.
  • Strong leadership skills.
  • Excellent problem-solving and decision-making abilities.
  • Passion for humanitarian work and commitment to mission-driven organizations.
  • Embraces diversity and demonstrates cultural sensitivity.
  • Technologically savvy with a proactive approach to finding solutions to business challenges.
  • Proficient in developing and delivering presentations, both in-person and virtually.
  • Proficient in both Microsoft Office Suite (Word, Excel, PowerPoint) and Google Apps for Business.
  • Quick adaptability to new software tools and experience with SmartSheets is a plus.
  • Willingness to travel for business, approximately 10% of the time.
