Houston Methodist is Hiring a Faculty Affairs Specialist Near Houston, TX

At Houston Methodist, the Faculty Affairs Specialist position is responsible for providing specialized administrative support to the Director of Faculty Affairs. This position is responsible for the daily operations of the academic appointments and promotions processes at Houston Methodist (HM) and Weill Cornell Medicine (WCM) and project management as assigned, including leading, coordinating and completing projects related to Faculty Affairs. The Faculty Affairs Specialist position communicates with faculty and units external to the department to gather all components related to faculty appointments/promotions and maintain in accordance with organizational compliance guidelines. This position operates a personal computer and appropriate software packages or its equivalent and assists in routine department activities.

PEOPLE ESSENTIAL FUNCTIONS
  • Assists with faculty recruitment initiatives, including providing administrative support to search committees. Meets with and guides candidates through the appointment and promotions process.
  • Receives inquires and telephone calls in a professional and courteous manner. Serves as a primary information resource for Houston Methodist faculty members and staff.
  • Provides contributions towards improvement of department scores for employee engagement on department scorecard, i.e. peer-to-peer accountability.
SERVICE ESSENTIAL FUNCTIONS
  • Organizes the daily operations of the academic appointments and promotions processes at Houston Methodist and Weill Cornell Medicine (WCM). This includes collecting all supporting documentation, preparing meeting materials, and organizing research seminars.
  • Provides operational support to the Houston Methodist Academic Institute (HMAI) Appointments and Promotions Committee (A&P) and the Council of Chairs and its related committees. This includes scheduling all committee meetings, preparing meeting materials, and drafting minutes.
  • Assists with the preparation and maintenance of faculty profiles for Houston Methodist Scholars.
QUALITY/SAFETY ESSENTIAL FUNCTIONS
  • Maintains the appointments and promotions databases and corresponding records, and produces reports from the faculty databases and other sources as requested.
  • Supports practices and policy compliance, adhering to the guidelines for appointments and promotions.
  • Participates in performance improvement activities to support department/entity goals. Communicates ideas and relays feedback to improve processes and develop networks to maintain support needed to complete tasks.
FINANCE ESSENTIAL FUNCTIONS
  • Utilizes department resources and supplies efficiently, identifying cost savings opportunities.
  • Self-motivated to independently manage time effectively to meet established timelines and prioritize daily tasks. Utilizes time efficiently and helps other team members.
GROWTH/INNOVATION ESSENTIAL FUNCTIONS
  • Maintains personal knowledge of complex faculty appointments structures and processes. Proactively keeps informed on changes and influences others to incorporate changes timely and accurately.
  • Identifies and assumes responsibility of own learning needs and seeks continuing education opportunities to meet those needs. Completes and updates the individual development plan (IDP) on an on-going basis. Ensures own career discussions occur with appropriate management.

EDUCATION
  • Bachelor's Degree or additional four years of experience (in addition to the minimum experience requirements listed below) in lieu of degree
