Hospice of Southern Maine is Hiring an IT Department - IT Manager, Full Time Near Scarborough, ME

Position Description

Title: IT Manager Reports to: Administrative Operations Director (AOD)

Primary Location: Main Office FSLA Class: Exempt

Supervises: Help Desk Support Specialist, Effective Date: 09/2023
Systems Specialist

Position Summary:
Under the direction of the AOD, responsible for management of IT staff, systems and infrastructure, and
the execution of HSM’s Information Technology department strategy including ongoing implementation,
development, and maintenance of Microsoft Azure cloud; security and compliance administration; various
business software and cloud solutions; training in the use of business hardware and software; maintaining
on-site and remote telephones, tablets, and computer systems. Serves as the primary liaison with all
vendors involved in IT technologies. Serves as HSM’s in-house expert on information security systems,
principles, and practices. Works with HSMs staff and vendors to assure that the company is well prepared
to manage, from a technology standpoint, an emergency or disaster.
Qualifications:
Education: Bachelors degree in IT, Computer Science or related field required.
Experience: Minimum of 6 years of experience working in IT operations. Previous supervisory experience
preferred. Experience overseeing IT projects required and broad knowledge of operating system
networks required. Ability to manage multiple priorities concurrently and demonstrated ability to
communicate technical matters effectively with people of varying skills and background. Systems
security, emergency preparedness and disaster recovery experience highly preferred. Experience with
Microsoft Azure infrastructure, and Office Online, highly preferred.
License/Certification: Valid driver’s license with an automobile that is insured in accordance with state
and/or agency requirements and is in good working order.

Essential Duties & Responsibilities:
1. Assists the AOD in analyzing business requirements for IT needs and systems, proactively assesses

new emerging technologies and makes recommendations. With oversite of AOD develops plans,
implements strategies. Maintains comprehensive information and communication systems that are
current and appropriate for agency needs including software, hardware, networks, security, and other
required systems.

2. In conjunction with AOD, provides planning, budgeting, leadership, and supervision to the IT
department; communicates current and projected needs, requirements, and options in the budgeting
process; recommends acquisitions and updates; monitors life cycles to assure sound systems and
good financial planning to support new purchases.

3. Supports effective use of Office 365 and related products and supports the breadth of other
technologies in use at HSM, including the Electronic Medical Record.

4. Manages HSM IT department employees to assure high quality customer service; promotes
continuous learning and development in areas key to HSM’s technology needs; coordinates with both
internal and external resources to arrange staff training and professional development.

5. Evaluates all expansion, modifications, and changes in existing information systems, infrastructure, or
interfaces; responsible for short- and long-term planning, project management, and implementation of
changes or new deployments; judges and communicates implications of change for the organization;
assures ongoing maximum availability and reliability of the technical networks.

6. Reviews, and makes suggestions for the disaster recovery plan.
7. Ensures the IT Help Desk program, including after-hours and on-call support, is fully staffed and

meets organizational needs; participates in Help Desk rotation as needed.

8. Promotes HSM excellence by establishing and achieving high quality internal and external customer
service standards; analyzing and resolving quality and customer service problems; identifying trends;
recommending system improvements.

9. Develops and maintains relationships with external IT vendors and service providers. Evaluates and
recommends vendor contracts for hardware, software, and technology related services as needed.

10. Actively identify issues and challenges faced by staff, then follow through with investigating and
developing solutions, refining, and finally implementing them.

11. Management and execution of HSM information and communication systems, including computer
network, licensing, end user tools, office and mobile telephone systems, staff education systems, and
various other building or physical security monitoring systems.

12. Develops and executes HSM wide information security monitoring methods, program policies, and
staff education to comply with organizational, HIPAA and other regulatory requirements and to assure
security of our systems.

a. Performs in-house assessment of information security systems and participates in third-
party assessments as needed.

b. Implements security related best practices.
c. Investigates, analyzes, and mitigates potential security concerns.

13. Assists in development and execution of HSM wide information systems disaster planning and
emergency preparedness plans, monitoring methods, program policies, and staff education to comply
with organizational, HIPAA and other regulatory requirements and to assure the company is
prepared, from a technology perspective, in the event of an emergency or disaster.

14. Works with AOD to develop IT policies and procedures and supports AOD with IT department
planning and budgeting.

15. Monitor invoices and costs associated with services provided by IT vendors.
16. Contributes to team effort by accomplishing related results as needed.
17. Performs other duties as assigned.
