Position Summary

Working under the supervision of the Director of Finance and Accounting and Senior Director of Grants Administration, the Grants Management Specialist aids in cultivating a team-oriented work environment aligned with the long-range plan, mission, vision, and values of Hope the Mission (HTM). A successful Grants Management Specialist is analytical, has perseverance, strong attention to detail, and superior problem-solving and organizational skills .

Primary Duties and Responsibilities

Grants Management Specialist will provide post-award fund and grant management. This will involve monitoring and managing contracts, grants, and income accounts from multiple funding sources. In addition, you will be responsible for preparing budgets for grants, preparing and monitoring monthly ledger analyses and reports for funds, reconciling discrepancies, preparing various agency financial reports, and coordinating the closing of grants. You will use your expertise in preparing budgets to provide budget projections for leadership. This team member should have a strong working knowledge of QuickBooks Online and be able to maintain agency, grant, and capital project accounting in accordance with Generally Accepted Accounting Principles (GAAP).

  • Demonstrated experience in post-award administration, including monthly billing, budgeting, and fund close-out.
  • Familiarity with government funding to include, but not limited to Los Angeles Homeless Service Authority (LAHSA), City of Los Angeles (CLA), Dept of Human Services (DHS), The Substance Abuse and Mental Health Services Administration (SAMSHA).
  • Demonstrated skill in analyzing expenditures in order to identify any discrepancies or potential problems that are in conflict with agency and internal guidelines.
  • Experience interacting with financial personnel in other departments and partner agencies.
  • Proper expense classification and grant coding.
  • Assistance with the agency and funder annual audits tasks as requested.
  • Assists in preparation of reports when requested.
  • Assists with accounts receivable entry in Quickbooks.
  • Performs other duties on an as-needed basis.

Knowledge, Skills, and Abilities

  • Strong analytical and reporting skills.
  • Advanced skills in MS Office (Excel), QuickBooks Online accounting software, and Google Suite
  • Demonstrate open, clear, concise and professional verbal and written communication skills with all levels of staff.
  • Ability to manipulate a large amount of data and interpret analyses.
  • Ability to complete assignments with attention to detail and high degree of accuracy.
  • Proven ability to perform effectively in a demanding environment with changing workloads.
  • Work independently or as part of a team and follow through on assignments with minimal supervision.
  • Ability to work in sensitive situations and maintain confidentiality.

Qualifications

A Bachelor’s Degree or higher in Finance or Accounting, or equivalent experience in a similar position for 3 years; non-profit finance preferred. A minimum of 5 years and experience in non-profit accounting.

  • Ability to walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis
  • Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead
  • Ability to operate a computer, scanner, and telephone
  • Prolonged periods of sitting at a desk and working on a computer
  • Occasionally lift and/or move, push and pull up to 25 pounds

Drive vehicle in and around Los Angeles County, as needed; be able to enter buildings that may require climbing stairs. Be periodically subjected to outside environmental conditions. Use a desktop and/or laptop computer; copy, postage and scanner machines. Complete all required forms in personal writing.
