Position Details

Job Summary:

Assists the Executive Director (or Executive Administrator) in the operation of the administrative office and administrative functions.

Essential Functions:

  1. Treats all information about residents, their condition, and family as well as personnel matters as confidential information.
  2. Complies with established Corporate and Departmental policies and procedures, and maintains established standards and practices.
  3. Provides clerical assistance to the Executive Director such as answering telephones, word processing, receiving visitors, overseeing office supplies and equipment, confidential files, financial records, etc.
  4. Assists in marketing functions such as greeting guests, providing basic information, telephone screening and follow-up calling.
  5. Coordinates collection and preparation of operating reports.
  6. Enters information/data on the computer concisely, accurately and completely.
  7. Performs other functions as directed by the supervisor.

Qualifications:

  1. Associate degree in a related field or equivalent experience.
  2. Keyboard speed of 40 wpm; ability to use computer and word processing software; knowledge of office style manual.
  3. Ability to read, write and understand English well.
  4. Possesses management ability including skills in written and verbal communication, judgment and reasoning and coaching.
  5. Has compassion, understanding and empathy for older persons.
  6. Understands management, delegation and motivational concepts.
  7. Ability to communicate to residents at a level they can understand.

Physical Requirements:

Working conditions are normal for an office environment. Work requires extensive work using a computer. This position has physical and mental aspects of sedentary work in which lifting requirements are minimal. Occasionally required to walk; use hands to finger, handle, or operate computers, objects, tools, or controls; and reach with hands and arms. Specific vision abilities required by this job include close vision and the ability to adjust focus.
