POSITION SUMMARY

RASF, a Radiology Partners affiliate, is seeking an Office Manager who will focus on providing general administrative/clerical support to the Miami Vascular Specialists team in the MVS Office. The ideal candidate will be experienced in handling a wide range of administrative and executive related tasks and will be able to work independently with little or no supervision. Assignments generally involve work of a confidential nature and require knowledge of the practices and procedures of the function, company services, policies and programs. The ideal candidate will be personable, driven and proactive. The Office Coordinator will have a willingness and ability to adapt quickly to changing needs and assignments as well as excellent communication skills. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a growing office of diverse people.

POSITION DUTIES AND RESPONSIBILITIES

  • Oversees the day-to-day general administrative tasks of the site ensuring efficient operations; coordinates all issues affecting the daily operations of the site
  • Serves as the point person for office coordination duties including maintenance, mail, shopping, supplies, equipment, bills, record systems and errands as needed;
  • Coordinate and plan meetings and team events
  • Manage building maintenance, space allocation as well as office move and expansion tasks
  • Plan and implement office systems, layout and equipment procurement
  • Acts as a liaison with other departments and outside companies (i.e. Coordinate with IT department on all office equipment)
  • Manage relationships/contracts with vendors, service providers, and landlord, maintaining the condition of the office and arranging for necessary repairs
  • Monitor and maintain office supplies inventory
  • Assist management in office accounting procedures
  • Assist with creating and implementing safety & health policies; partner with HR and management team to maintain office policies as necessary
  • Assist with onboarding new employees
  • Create and coordinate internal communications
  • Create and fosters team culture
  • Provide general assistance to visitors
  • Reporting KPI metrics
  • Utilizationand maintenance of EMR system
  • Streamlining current processes
  • Evaluation and management of current workflows
  • Implementation of workflow efficiencies
  • Performs other related duties and special projects as require

DESIRED PROFESSIONAL SKILLS AND EXPERIENCE

  • Associate’s/College degree preferred; BSC/BA in business administration or relevant field highly preferred
  • Proven office management, administrative or assistant experience
  • Knowledge of office management responsibilities, systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Reliable with patience and professionalism
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficiency in MS Office
