Hoge Fenton, a venerable multi-service law firm headquartered in downtown San Jose, has an immediate opening for an Practice Team Assistant in our San Mateo office. The primary responsibilities are to assist the attorneys, paralegals and secretaries in the San Mateo office by handling day-to-day tasks necessary to support the various practices in that office including handling records-related tasks and other administrative duties for the firm.

Primary Job Duties

• File documents into the appropriate matters (both physical files and electronically into ProLaw)
• Scan and profile other documents as necessary
• Retrieve files from offsite storage as needed
• Assist with closing matters
• In conjunction with the Records Transition Coordinator, help with the transfer of records in and out of the firm.
• Assist with running conflict checks (firmwide)
• Scan incoming mail; emails the team; enter profiles into ProLaw
• Cover at Reception as needed
• Coordinate with others in the firm on internal event planning
• Assist with general office services tasks (greeting clients, conference room set-up, replenishing office and kitchen supplies) as needed

Education, Experience, Skills

• High School education or equivalent
• Proficient general office and filing skills
• General office experience preferred

Physical Requirements

• Must have a professional appearance and demeanor
• Typical effort of general office work, including bending, moving, and lifting up to 25 pounds; sitting at a computer, walking within the office

The hourly salary range for this position is $25.50 to $29.50, depending on the candidate’s years of experience, qualifications, and skill set. This salary range represents the firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will depend upon a number of factors, including but not limited to those qualifications listed above.
