Overview

Highgate is seeking an exceptional professional to serve as the Business Analyst for the Family Office that serves its founding principals. This individual will collaborate with various members in the Family Office and will liaise with team members in the Highgate Hotels organization as well. The role will include a combination of financial, tax and legal-related responsibilities. This position reports to the Chief Financial Officer and Vice President of Tax in the Family Office, with frequent exposure to the entire executive team across both the Family Office and Highgate Hotels.

Responsibilities

• Coordinate with internal teams and external stakeholders to gather necessary information for tax filings
• Prepare simple tax documents, tax returns and other forms as needed
• Process tax returns efficiently, including obtaining checks, document scanning, certified mail preparation and regular visits to the local post office for mailing
• Manage the acquisition and tracking of key monthly reports for the finance and tax teams within the Family Office
• Provide support to the finance team in performing basic financial tasks, including data entry and expense tracking
• Coordinate the download of third party capital call documents, statements, K-1’s, and related documents
• Track and organize receipts for credit card charges to maintain accurate financial records
• Maintain an organized filing system for tax and finance documents to facilitate easy retrieval and accessibility
• Manage incoming and outgoing correspondence, including reviewing and distributing Family Office mail
• Streamline the review procedures for Family Office postal charges
• Maintain and organize tax calendars, entity lists, digital and paper folders and tax filings
• Create and edit presentations, spreadsheets and other various documents
• Oversee vehicle documentation to ensure comprehensive recordkeeping
• Manage calendars, schedules, and travel arrangements for key Family Office executives
• Coordinate meeting logistics, including room bookings, equipment setup and attendee communication
• Support the legal team by gathering officer signatures and notarizing documents
• Perform ad hoc projects and support other administrative personnel as needed

Qualifications

• Prior experience working with executive, finance and tax professionals preferred
• Possess exceptional writing and verbal communication skills
• Demonstrate superb organizational, multitasking and prioritization abilities
• Exhibit close attention to detail and a commitment to excellence in all tasks
• Display a high sense of urgency, initiative, and prioritization in addressing tasks and responsibilities
• Demonstrate proactive approaches to problem-solving, displaying strong decision-making capabilities

• Exhibit the ability to handle confidential information with discretion and integrity
• Demonstrate advanced proficiency with Microsoft Office Suite, including Word, Excel and PowerPoint
• Previous exposure to Box.com is beneficial but not required
• Ability to create and format documents, spreadsheets and presentations with a high level of accuracy and attention to detail
• Strong aptitude for learning and adapting to new software tools and technologies as needed
• Notary license or willingness to obtain one
