The Team:

The Building Operations team plays an essential role for maintaining a well-functioning organization by strategically deploying resources and optimizing the tools needed to enhance process flows across departments. 

Our goal is to support business growth by adapting to changing processes and procedures and creating a productive work environment. Additionally, we are responsible for ensuring a seamless and productive work environment by providing each department with the physical tools, machinery and equipment needed. 

The Opportunity:

As the Building Operations Coordinator, you are responsible for overseeing the maintenance and operations of the building. You will ensure that all necessary repairs and preventative maintenance measures are scheduled and completed, enforce safety and security protocols, coordinate building inspections and permits in coordination with the Director of Building Administration & Operations. 

Additionally, you will be involved in space planning and assist in implementing sustainability initiatives. Overall, your role is crucial in ensuring the smooth functioning of a building and creating a safe and comfortable environment for all occupants.

Your partnership within the Service Center is essential, ensuring each department can continuously perform their job responsibilities with the improving strategies to operational flows.

About the Role:

  • Schedule safety trainings required by OSHA 
  • Responsible for maintaining the Infolink log, ensures accurate recording of all equipment and rental activity specific to the processing areas, including waves, sit-down trucks, reach trucks, and order pickers. 
  • Schedule annual required training for employees and temporary personnel operating waves and Hi-lo’s and maintain an updated list of licensed operators.
  • Ensure the timely scheduling of all services related to building maintenance to include, heat, air, sprinkler system, hi-bay doors, fire doors, dock levelers, printers, mezzanine lift gate, BAF, supply machinery, pest controls and any other building maintenance deemed necessary.
  • Schedule Company Truck maintenance and follows up on all driver DOT compliance requirements in coordination with Logistics Manager.
  • Landscaping Contract follows up on Spring and Summer maintenance, schedules Fall and Winter ice and snow clean up from parking lot; sidewalks and truck driver walkways must be maintained. This is as stated and required by our lease.
  • Schedules the cleaning of the interior of the building through General Service Cleaning company
  • Schedules repairs and monthly services for equipment in processing areas, all Weight and Measure scales, shrink-wrap machines, etc.
  • Schedules maintenance and bi-annual cleaning for all BAF ceiling, pivotal fans, solar panel network and backup generator
  • Schedules General Maintenance in and outside of the building
  • Schedules maintenance pertaining to the upkeep with the parking lot and marked parking spaces.
  • Maintains a project log along with Director of Building Operations providing updated timelines for all building projects
  • Completes walkthroughs with Vendors and annual fire inspection along with Director of Building Operations.
  • Completing timesheets for all processing temporary personnel accurately tracking and reporting the hours worked ensuring they are compensated correctlly

About You:

  • 2-3 Years Minimum of Related Experience
  • Bachelor’s Degree preferred
  • Conversational Spanish language preferred
  • Ability to lift up to 50 lbs. following proper safety procedures
  • Create, follow and lead all safety guidelines
  • Clear and courteous communication
  • Ability to work under pressure in a fast-paced environment
  • Ability to multitask
  • Accountability, accuracy, and attention to detail
  • Strong organizational skills
  • Excellent communication skills
  • Ability to work independently to develop a method to achieving goals with little supervision.
  • Basic Excel knowledge and computer skills
  • Independence and self-motivation skills: able to work as a team as well as handle projects on his/her own
  • Position requires flexible work schedule, including some weekends and during peak periods
  • Microsoft Excel, Word and Outlook
