Heritage Pools is Hiring an Office Coordinator Near Charleston, SC

Purpose

Manage all maintenance technicians by developing, executing, and tracking maintenance routes and maintenance reports to ensure quality work for our customers.

Duties

  • Daily Morning Routine:Check that all assigned pools have been completed by checking them off the Maintenance Routecomparing to completed reports in the current in Salesforce to ensure that no pools were missed.

Dispatch technicians on routes:Address any issues they have while they load their trucks.
Make sure they are filling out order forms properly and completely for warehouse.
Visually check trucks to assure blowers and power vacs were stored inside the truck overnight and beds are clen from chemical damage.
Review notes made by tech from the previous day, discuss issues and let them know about any corrections they need to make.
Collect gas receipts from previous day.
Be present out in the warehouse and available to help techs that need assistance.
Confirm that all tasks from the previous day were completed, close them out if needed or reassigned.
Confirm that all techs that are going straight out are moving using Azuga.
Check emails and voicemail.
Check Salesforce task list.

  • Track techs using Azuga to see that route was followed in order and that they are not taking unnecessary routes and compare times to Salesforce reports.
  • Communicate with technicians throughout the day assisting them with issues.
  • Answer questions about reports such as chemical readings or pictures from the Maintenance Administrative Assistant.
  • Answer questions regarding additional charge items, extra time, etc.
  • Create estimates for simple repairs/equipment replacements, send to customers for approval, order parts when approved
  • Answer questions from the Maintenance Administrative Assistant r regarding additional charge items, extra time, etc
  • Follow up on estimates daily
  • Follow up on accounts receivable daily in Salesforce
  • Take calls from customers with issues/complaints, understand problems completely, create tasks with details and necessary actions, add complaint to Maintenance Workbook
  • Speak with potential customers, explain services, schedule estimates and send letter and packages. Confirm that property is accessible, obtaining gate codes or special passes
  • Use Google map to locate pools to determine service days or estimates
  • Create tasks in Salesforce for Service Coordinator as technicians call in with issues or repairs that are needed
  • Add content to Monday morning meetings list throughout the week (completed by Friday). Topics should include any issues to discuss with techs, helpful notes and any information the maintenance techs need
  • Schedule all new construction free maintenance visits and send new construction customers the maintenance information, follow up once free maintenance is completed
  • Maintain NC Service/Maintenance (Boards)spreadsheet to track 28 day process pools and free maintenance
  • Call and email customers with pricing the morning after estimate visit
  • Complete and send agreements and recurring form using Salesforce to new maintenance customers following Adding a New Maintenance Customer – SOP
  • Track on Maintenance Workbookall pools added and removed from the route
  • Write SOPs for maintenance and give to Human Resources Coordinator to publish
  • Call all customers with closed/covered pools in Spring to recommend reopening and added back to maintenance
  • Update Maintenance Workbookas needed and follow up with customers to make sure issues have been resolved
  • Manage, update and inspect tech cameras, GPS units, salt testers, and power vacs using Vehicle/Equipmentspreadsheet
  • Hand off the orange training folder to the trainer.Audit the folder on the 5 day process

  • Process new hire intake for all maintenance techs:Assign trainer, supply copy of Maintenance Training – Checklistto the trainer, monitor progress of the form during 2 weeks of trainees training

When training is complete and tech is ready to be on their own, sign out all equipment and assign truck

Requirements and Qualifications

  • High school diploma or GED certificate.
  • Valid driver’s license and reliable transportation.
  • Must be able to pass a criminal background check
  • Must be able to pass a drug test.
  • Physical Requirement: heavy lifting, bending and standing for long periods.
