The Clinical Services Database Assistant provides direct administrative support to the Clinical Services Department to help ensure its overall success. This position maintains accurate database systems for the department and generates necessary reports under the department leadership's direction. This position also provides general administrative support to the department and department leadership. This position provides data management support and will lead many data management projects, working with other departments within the agency.
Hemophilia of Georgia operates an annual summer camp program for children and teens with hemophilia and other inherited bleeding disorders. Camp is typically held in July (which may include the Fourth of July) and runs Saturday-Friday, and the date changes each year. Camp is an agency-wide, strategic priority; therefore, all exempt employees must participate. Assignments may include duties at camp, helping campers get to and from camp, and may involve overnight travel. The Director of Camp & Client Events will provide advance notice to exempt employees of where support is needed. PTO requests during the week of camp are generally not approved; however, PTO requests for extenuating circumstances will be reviewed on a case-by-case basis by the VP of Clinical Services.

QUALIFICATIONS

  • Bilingual (Spanish Speaking) required.
  • At least 2 years' experience using Salesforce or other customer relationship management software.
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations. The position continually requires demonstrated poise, tact, and diplomacy.
  • Proven ability to work effectively in a team environment.
  • Must possess excellent written and verbal communication skills with the ability to communicate professionally with colleagues and clients.
  • Ability to work independently on assigned tasks and accept direction on given assignments.
  • The position requires critical thinking and excellent problem-solving skills.
  • Excellent communication and organizational skills.
  • Ability to maintain confidentiality.
  • Highly Proficient in Microsoft Office Suite applications, advanced proficiency in Excel, and database management experience.
  • Must be able to lift and carry 30 pounds.
RESPONSIBILITIES
Maintain a positive work atmosphere by acting and communicating in a manner so that you work productively, effectively, and efficiently with customers, clients, co-workers, and management.
Essential Functions:
  • Provide administrative support to Clinical Services leadership, including answering calls, scheduling meetings, preparing agendas, creating reports, managing mailings, taking meeting minutes, assisting with processing expense reports, and coordinating logistics for meetings, including catering.
  • Maintain client records in multiple database systems ensuring accuracy. Creating, managing, and updating client records as needed. Calling clients as needed to obtain updated information.
  • Maintain confidentiality of all medical record information.
  • Communicating with hemophilia treatment centers and staff about new clients
  • Maintaining yearly records of new clients, clients moved out of state, deaths, hospitalizations, and referrals.
  • Manage the internal Emory clinic calendar, ensuring all clinics have coverage.
  • Upload weekly Emory clinic schedule for nurse and social worker updates and look up appropriate information for the clinical team to review.
  • Create tasks for the Outreach team to follow up on new clients, clinic appointments, training, and in-services.
  • Entering HTC monthly report statistics into CMS/HoG Connect.
  • Manage the Emergency Action Plan program, entering data, creating cards, and uploading documents to the chart.
  • Distributing information that comes in on the Srfax machine.
  • Assist in the RX scanning project.
  • Understand and become knowledgeable of HoG standards and state/federal laws pertaining to the release of information, policies, and procedures and HIPAA regulations.
  • Develop and maintain a basic knowledge base in all facets of hemophilia and other bleeding disorders, the nature of the disorders, treatment, complications and their treatments, client population, aspects of Hemophilia of Georgia, Georgia resources, etc.
  • Promptly report to the direct supervisor any customer service concerns and/or any potential HIPAA violations, whether actual or perceived.
  • Assist with county, state, and federal reports as requested and required.
  • Work with the Clinical leadership team to ensure data integrity and dissemination of information to applicable departments.
  • Ensure all transcribed records are complete, correct, and uploaded to the client’s chart.
  • Proactively detects data record errors and maintains data integrity.
  • Communicate with the supervisor and the VP of Clinical Services regarding issues related to releasing protected health information.
  • Attends and participates in required educational training sessions as assigned.
  • Lead projects as assigned.
Additional Responsibilities:
  • Work in cooperation with other attendant positions to cover phones and assist with general office support as needed.
  • Assist the Clinical Services team at events.
  • Additional duties as assigned by the Clinical Services Administrator and the Vice President of Clinical Services.
