Position: Community Engagement Database Coordinator Status: Full-time, Exempt
Supervisor: Director of Camp & Client Events Date: December 18, 2023

The Community Engagement Database Coordinator provides direct support to the Development Department to help ensure the overall success of the department. The position maintains accurate database systems for the Development Department and generates reports under the direction of the Chief Development Officer. The position provides data management support to the Development Department.
Hemophilia of Georgia operates an annual summer camp program for children and teens with hemophilia and other inherited bleeding disorders. Camp is typically held in July (which may include the Fourth of July) and runs Saturday-Friday, and the date changes each year. Camp is an agency-wide, strategic priority; therefore, all exempt employees must participate. Assignments may include duties at camp, helping campers get to and from camp, and may involve overnight travel. The Director of Camp & Client Events will provide advance notice to exempt employees of where support is needed. PTO requests during the week of camp are generally not approved; however, PTO requests for extenuating circumstances will be reviewed on a case-by-case basis by the Chief Development Officer.
QUALIFICATIONS
  • Bilingual (Spanish speaking) is required.
  • At least 2 years’ experience in using Salesforce (preferably NPSP) or other customer relationship management software.
  • Proficient in Microsoft Office Suite applications.
  • Ability to learn and manage department-specific software.
  • Proven ability to work effectively in a team environment.
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
  • Excellent time management skills and the ability to manage multiple projects.
  • Position requires critical thinking and excellent problem-solving skills.
  • Experience with reconciling established budgets and assist with budget tracking and record keeping as needed.
  • Must have a high level of interpersonal skills to work with stakeholders. The position continually requires demonstrated poise, tact, and diplomacy.
  • Excellent organizational skills.
  • Availability to work flexible hours including nights and weekends as needed.
RESPONSIBILITIES
Maintain a positive work atmosphere by acting and communicating in a manner so that you work productively, effectively, and efficiently with customers, clients, co-workers, volunteers, and management.

Essential Functions:

  • Provide support to the Development Department as needed with special events, including assisting in developing invitation and corporate sponsor lists, preparing necessary mailings, attending committee meetings, preparing history of previous events, attending HoG events, assisting event volunteers, processing follow-up correspondence, and preparing volunteer committee materials.
  • Participate in donor relationship building and cultivation.
  • Identify new funding sources to maintain or exceed the Development department’s fundraising goals. Conduct research and generate leads on corporations, foundations, and community organizations.
  • Maintain and update the volunteer and donor database.
  • Process donor thank you letters in an accurate and timely manner.
  • Accurately input all fundraising income, update the general ledger and balance accounts monthly against the Controller’s monthly income journal.
  • Generate donor reports using the donor database.
  • Support the department in implementing all fundraising initiatives and campaigns.
  • Complete corporate and foundation requests in coordination with the Chief Development Officer.
  • Prepare department meeting agendas and record meeting minutes.
  • Maintain accurate volunteer records.
  • Track volunteer hours and provide reports when requested.
  • Work with the other members of the Development Department to plan and implement annual volunteer and donor recognition event.
  • Support donor and volunteer retention efforts.
  • Assist with and attend Development department events.
  • Maintain accurate client and family information in Jotform and Ultracamp.
  • Coordinate with Clinical Team to update client and family information in HoG Connect.
  • Set up and update camper files for camper check in & out.
  • Create luggage tags for camp.
  • Call parents during camp week to remind them to pick up camper from camp.
  • Manage registration process for client events including confirmation and reminder communications to clients & families.
  • Generate mailing lists and labels as needed from all database systems (client, volunteer, donor, etc.) as needed.
Additional Responsibilities:
  • Attend meetings and conferences as assigned by the CDO.
  • Additional duties as assigned by the CDO.
