Job Summary:
We are looking for a dynamic and detail-oriented Administrative Assistant to join our psychiatric rehabilitation program/mental health services team. The ideal candidate will be responsible for providing administrative support to the program staff, assisting with electronic health records (EHR) using ICANotes, participating in client interviews, coordinating with local colleges' social work departments for intern recruitment, managing document filing systems, and thriving in a fast-paced, multitasking environment.
Responsibilities:
1. Utilize EHR system (ICANotes) to maintain accurate and up-to-date client records and documentation.
2. Assist in conducting client interviews and taking notes during sessions.
3. Contact local colleges and social work departments to recruit interns for the program.
4. Manage document filing systems and ensure all paperwork is organized and accessible.
5. Quickly learn new tasks, procedures, and software to adapt to the fast-paced environment.
6. Effectively multitask and prioritize tasks to meet deadlines and support program operations.
7. Collaborate with program staff to streamline administrative processes and improve efficiency.
8. Assist in organizing and coordinating program events, workshops, and outreach activities.
9. Maintain confidentiality and adhere to ethical standards when handling sensitive information.
10. Provide general office support such as answering phones, responding to emails, and scheduling appointments.
11. Maintain office supplies
12. Conduct necessary inbound and outbound phone calls.
13. Work And train Under the program Director Guidance.
Qualifications:
1. High school diploma or equivalent; associate's or bachelor's degree is a must.
2. Previous experience in an administrative role, preferably in a mental health or PRP healthcare setting.
3. Familiarity with EHR systems, particularly ICANotes, is highly desirable.
4. Strong organizational skills and attention to detail.
5. Ability to work in a fast-paced environment and quickly adapt to changing priorities.
6. Excellent multitasking abilities and the capacity to handle multiple tasks simultaneously.
7. Effective communication skills and the ability to work collaboratively with a diverse team.
8. Proficiency in Microsoft Office Suite and other office software applications.
9. Compassionate attitude towards individuals dealing with mental health challenges.
10. Knowledge of mental health terminology and practices is a plus.
