GENERAL SUMMARY:
Under general supervision of the Program Manager, MOW and according to The Health Trust’s (THT) general policies and procedures, the Program Coordinator, MOW is responsible for coordinating all aspects of The Health Trust’s Meals on Wheels (MOW) program with an emphasis on careful program monitoring to ensure both customer satisfaction and fiscal responsibility. This position performs complex technical and administrative tasks related to client, volunteer and database management, food ordering and delivery, billing and outreach. This position works collaboratively with other teams within The Health Trust, including Medically Tailored Meals, Food Basket and delivery drivers, as well as with external vendors and partners.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Coordinates the day to day operations of the Meals on Wheels program
Coordinates, schedules and troubleshoots MOW deliveries through database system
Communicates, supports and dispatches deliveries to drivers’ mobile app
Communicates with the food dispatch center to ensure the correct deliveries are prepared and delivered
Answers client questions and resolves delivery problems
Analyses and generates projections for the number of meals and places meal orders.
Oversees the screening and onboarding of new clients.
Ensures that the clients are entered into the database correctly.
Ensures that program services are set up correctly and billed to the right grants
Oversees and distributes client and marketing materials.
Collaborates with Salesforce partners to improve processes and resolve problems in the Salesforce database.
Oversees day to day activities of volunteers and interns.
Assists with billing and grant reporting by generating reports from Salesforce
Answers phone calls from clients, drivers and the public, takes messages and answers questions.
Tracks client compliments and complaints.
Updates forms and other literature as assigned.
Represents The Health Trust through participation in community outreach activities.
Attends job training and performs other related duties as assigned.
Maintains all HIPAA standards of privacy and confidentiality.
Other duties as assigned.
EXPERIENCE AND TRAINING
Bachelor's Degree preferred or equivalent combination of training and experience.
Minimum two years of progressively responsible administrative/office environment.
Experience in a community health field is preferred.
Proficient in Microsoft Office products/software and Google applications
PREFERRED EXPERIENCE & TRAINING
Bilingual in one or more threshold languages (Spanish, Vietnamese, Tagalog, Mandarin, Cantonese, Farsi) strongly preferred
Experience with databases such as Salesforce strongly preferred.
MINIMUM KNOWLEDGE AND ABILITY
Excellent telephone, communication and interpersonal skills.
Ability to maintain productive working relationships with clients and their families, program staff, interns, volunteers, community agencies and external vendors.
Ability to show understanding, patience and tact when dealing with clients, their families and community partners.
Ability to work independently, prioritize, problem solve, and utilize critical thinking and good judgment skills.
Aptitude for learning new database software.
Excellent written and oral communication skills.
Ability to work effectively with people of diverse cultures, ages and economic backgrounds in a culturally competent and sensitive manner.
Demonstrated proficiency in Microsoft Suite and Google products
Self-motivated and demonstrated critical thinking skill
Demonstrated strong teamwork and people skills, with ability to develop productive relationships
Ability to model and communicate the mission of The Health Trust and support a culture of empowerment and team support.
WORKING CONDITIONS:
Professional office environment, hybrid work once proficient
May perform repetitive motion activities and sit for long periods of time
Normal office environment with little exposure to excessive noise, dust, and temperature.
Local travel required.
Car available for daily use with valid driver’s license and automobile insurance as required by the State of California.
Employment background screening required.
Must be available to work varied hours.
