Summary

The Customer Service Representative performs administrative support services in the Hays County Transportation Department. The work involves data entry, permit and payment processing, and filing, handling and receipting checks, daily customer relations, word-processing, website management, and mail distribution. This position facilitates the work of the Hays County Transportation permitting functions and has an immediate impact on the operation of the Hays County Transportation Department.

• Responds to general questions, providing instructions to applicants, and processing payments related to the departmental permit program. Receives all payments via mail-in, walk-in and online.
• Responds to questions in person and via telephone from property owners, utility companies, engineers, and contractors.
• Sorts and files forms, reports, correspondence and related documents.
• Conducts online research related to the specific case or situation.
• Prepares and maintains all permit documents.
• Examines letters, forms, documents or reports for accuracy and reports discrepancies to supervisor.
• Codes, tabulates and assembles statistical and related data while tracking and reporting all payments.
• Gathers, collates, classifies and posts information to assigned department records and computer system.
• Types standard forms, letters and other materials from rough draft and dictating equipment.
• Assists with data entry as needed into the assigned computer system.
• Operates office machines including photocopier, fax, calculator, typewriter, and adding machine.
• Communicates all changes and problems to supervisor.
• Verifies all data to be entered into database and websites and ensures accuracy and standards and requirements are met.
• Run daily and monthly reports.
• Create folders and scans inspection reports to correct permit numbers in data base.
• Researches property information via online websites, including Hays CAD and Google Earth.
• Collects fees, maintains fee collection records, verifies and balances receipts, and prepares for bank deposits or transfers funds to other County departments.
• Performs daily cash handling functions and following Hays County Cash Handling Policy.
• Prepares individual deposit for verification by supervisor.
• Assists in scheduling appointments and maintaining calendars.
• Ensures the services delivered meet quality and timeliness standards.
• Performs other duties as assigned.

Any combination of experience or training may be substituted on a year for year basis.

• Requires High School diploma or GED.
• Requires two years full time experience in secretarial, office/clerical or related work.

• Bilingual preferred. (Spanish and English)
• Notary Public may be required.
• Valid Texas Class C Driver’s License.
