TITLE: Executive Administrative Assistant

REPORTS TO: Harken CEO

BASED AT: Harken, Inc., Pewaukee, WI

STATUS: Full Time, 1st shift, Non-Exempt

KEY RESPONSIBILITIES:

  • Provide administrative support in the following areas: Board of Directors, Executive Team and Human Resources
  • Compile packets for Board meetings, manage calendar and book travel for Board of Directors and Executives
  • Provide administrative assistance, such as writing and editing e-mails, drafting memos, preparing communications on the executives’ behalf and sorting and distributing mail
  • Coordinate and schedule All Company Meetings, assist in planning and executing employee events, including ordering food, setup and cleanup
  • Organize and schedule quarterly orientation meetings for new employees and monthly lunches with Executives
  • Greet visitors meeting with Executives, organize tours of facility for outside groups, restock supplies in conference rooms and lobby area, decorate lobby area for the holidays
  • Organize meetings, including scheduling, sending reminders and organizing catering when necessary and maintaining comprehensive and accurate record of events
  • Exercise considerable judgement in making appointments, accessing confidential or technical information and composing original correspondence
  • Other duties as assigned

POSITION REQUIREMENTS:

  • Strong organizational skills with the ability to multitask and prioritize tasks effectively
  • Ability to use standard office equipment
  • Computer proficiency in Microsoft Office Suite programs, i.e. Word, Excel, Outlook, Power Point, Publisher
  • Ability to add, sub-tract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals
  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit; use hands to finger, feel or handle objects, tools or controls; and reach with hands or arms. The employee is occasionally required to stand and walk; climb or balance; and stoop, kneel, crouch and crawl. Must be able to walk or stand on concrete for up to 4 hours at a time
  • Must be able to lift 25 pounds without assistance
  • Specific vision abilities required by this job include close and distance vision; color vision; peripheral vision; depth perception and the ability to focus
