Haddad Plumbing and Heating has provided cost-conscious residential, commercial plumbing and HVAC services in New Jersey for over 20 years. We currently look for a Service Dispatcher.

JOB DESCRIPTION : Perform dispatching and provide excellent customer service along with administrative duties.

• QuickBooks knowledge required.
• Data entry into QuickBooks, and Excel as well as other systems and databases as needed for both companies (Haddad Plumbing & Heating Inc. and HP Services Inc.)
• Manage and maintain dispatch calendar
• Track all calls
• Timely communicate all changes on schedule to Operations/Service manager
• Schedule service calls, and maintenance HVAC/Heating contracts
• Provide superior Customer Service
• Track Technician’s vehicle on GPS software, compare with invoices and time sheets.
• Generate materials request voucher
• Follow up on proposals
• Create estimates and invoices in QuickBooks
• Create new, and maintain existing customer information in QuickBooks
• Create proposals
• Manage collection accounts
• Generate work orders and communicate to service technician
• Process qualification for customer’s credit.
• Process credit card payments
• Verify technician’s time sheets
• Follow up with vendor’s on shipments
• Follow up COI & W-9
• Ensure technician has all materials needed to get the job done prior to service, order materials and follow up on status of order when necessary.
• Accounts receivables
• Generate Aging summary report
• Performs filing and copying
• Order work order books
• Create binders for HVAC Maintenance contract
• Assist with all other clerical duties as assigned by Operations/Service Manager and all other members of senior leadership.
• Maintain yearly on-call, vacation, holiday schedule for 24/7, 365 day service coverage.

Supervisory Responsibility: This position has no supervisory responsibilities.

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is frequently required to sit, stand, talk and hear. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Position Type and Expected Hours of Work: This is a full-time position. Days and hours of work are: Monday through Friday: 8:30am-5:30pm

Travel: No travel is expected for this position.

Required Education and Experience

• High school diploma.
• Proven experience as a dispatcher or relevant position
• Tech-savvy with knowledge of relevant methods
• Fast typing with experience in data entry
• Knowledge of procedures and guidelines for emergency situations
• Proficient in English and Spanish
• Outstanding organizational and multitasking abilities
• Active listener with excellent communication skills
• Sound judgment and critical thinking
• Professional behavior and conduct

Preferred Education and Experience: Five years of Service dispatching experience or accounting experience.
