The Habematolel Pomo of Upper Lake is a federally-recognized native sovereign nation. Our primary purposes relate to the overall wellbeing of our Tribal Members and our families. We have active programs and relationships with our Pomo tribal neighbors in Lake County California that will help us preserve our Pomo culture. Many of these activities help us rediscover lost traditions, spiritual beliefs and help revive our dying languages. Because we know that the world is a different place than when our ancestors were here, our Tribe works very hard to learn different ways of achieving economic self-sufficiency. We engage in a variety of economic development strategies which would not only benefit our families but also our neighbors. Purpose of the Position: The Receptionist reports to the Health and Human Services Administrator and will be responsible for welcoming all visitors (i.e., guests, staff, tribal members & vendors) to the office, providing and ensuring their comfort while directing them to the proper staff or service. The position will also provide clerical support to the Health and Human Services Tribal office staff and Tribal members.

Essential Duties and Key Responsibilities

  • Perform administrative tasks, including answering a multi-line phone system, transferring calls, and taking messages for the appropriate individuals.
  • Clerical tasks such as filing, typing, photocopying, faxing, proofreading, sorting, collating, etc.
  • Receive, sort, and distribute incoming office mail and log & post outgoing mail; files correspondence and other materials as required.
  • Maintain strict confidentiality as 1) legally required, including but not limited to information subject to third-party confidentiality agreements, 2) internal confidential information marked as such, and 3) Tribal member confidentiality in conformance with agency confidentiality policy.
  • Prepare on-site conference room for the purpose of Tribal member, Committee, and Executive Council meetings.
  • Update bulletin board and walls by posting and removing flyers and notices when needed.
  • Assist with updating the Health and Human Services office calendars so they are current and organized.
  • Keep all forms and applications stocked and available for Tribal members and staff.
  • Stock photocopier and fax machines with paper and ink, along with ordering supplies for copy machines, offices, and departments.
  • Organize the workstation and lobby area so it is neat.
  • Participate in department meetings and events as required.
  • Demonstrate sensitivity to Tribal history, lifestyle, and culture.
  • Regular, reliable attendance during normal business hours.
  • Other duties as assigned.

Skills and Abilities

  • Must be able to familiarize yourself quickly and accurately with new and existing computer software and office procedures and operate a variety of office equipment.
  • Utilizes computer software to access and prepare specific reports, resolutions, and necessary documents.
  • General computer skills such as the Internet and popular software programs, including, but not limited to, Email, Microsoft Word, Excel, Zoom, and similar programs.
  • Knowledge and familiarity with the following programs are a plus: Power Point, Print Shop, DOS, and Adobe Acrobat.
  • Modern office practices and techniques.
  • Excellent communication skills: utilizing the ability to communicate effectively both orally and in writing with professionalism, excellent grammar, respect, and courteousness.
  • Possess a balance of assertiveness and diplomacy along with adaptability to communicate on all levels.
  • Experience demonstrating the utmost discretion and confidentiality as you will have access to confidential information.
  • Excellent attention to detail while being able to multi-task, stay organized, prioritize work, and work independently.
  • Highly organized and the ability to organize others.

Education and Experience
Required:

  • High School Diploma, G.E.D or 1 year of general office or clerical work experience in lieu of education. PLUS:
    • Ability to successfully complete pre-employment Skill Assessment to evaluate the following areas:
      • Attention to detail.
      • Basic math.
      • Computer skills (Excel and MS Office).
      • Reading and comprehension skills.
  • All offers are contingent upon signing a confidentiality agreement and satisfactory completion of drug screening and background checks. Employer observes federal standards for controlled substances.
  • Required to possess a valid driver’s license and maintain a driving record that is satisfactory to the Tribe’s insurance carrier.

  • Hours worked may vary depending on special projects or as needed by the Department, including some evenings, weekends, and occasional holidays.
