Gunderson Family Companies is Hiring an Executive Administrative Assistant Near Menasha, WI

Job Description:

We are seeking a highly organized and proactive Executive Assistant to support the President of our company in overseeing facility projects. The ideal candidate should have a solid understanding of project management principles, excellent organizational skills, and the ability to handle multiple tasks simultaneously. They should also possess the ability to thrive in a fast-paced environment, strong communication skills, attention to detail, and proficiency in relevant software applications such as Microsoft Office.

Key Responsibilities:

Executive Support:

  • Organize and maintain the President's daily schedule, ensuring all appointments and commitments are managed effectively.
  • Handle incoming communications, including emails, calls, and inquiries, and prioritize them appropriately.
  • Prepare and edit correspondence, reports, presentations, and other documents as requested by the President.
  • Coordinate travel arrangements and accommodations for the President as needed.

Project Coordination:

  • Coordinate and administer facility projects, tracking progress through all phases from setup to completion.
  • Compile project status reports, manage meetings, agendas, minutes, and correspondence, and proactively identify and resolve technical issues.
  • Establish and maintain a well-organized project filing system for easy access to documentation.
  • Project execution to ensure adherence to timelines and quality standards, with a strong emphasis on thorough follow-up.
  • Communicate regularly with the President to provide updates on project status, address any issues or changes, and relay requests from contractors.
  • Liaise with internal and external stakeholders, including contractors, suppliers, and team members, to facilitate smooth project coordination and execution.

Qualifications:

  • Minimum 3 years of high-level executive support and or project support experience
  • Excellent verbal and written communication skills.
  • Strong attention to detail and organizational abilities.
  • Proficiency in Microsoft Office products, including Outlook, Word, and Excel additional software tools a plus.
  • Self-motivated with the ability to multitask and prioritize workload effectively.
  • Exceptional customer service skills and a proactive approach to problem-solving.
  • Ability to work collaboratively as part of a team and take initiative when required.
