Student Account Specialist - Job Description

Grapevine Faith Christian School exists to develop and graduate authentic Christian leaders.

Position Summary:

The Student Account Specialist supports the mission of our school by being the main contact for student billing and managing student accounts to ensure parents fulfill their financial obligations to the school. The primary responsibility of this position involves billing and collecting on all student accounts. This position requires confidentiality in the handling of all student account information. The Specialist will report to the Chief Financial Officer.

Status: Full-Time / Exempt / 12-month

Responsibilities:

1. Serve as the main contact for parents regarding student billing. 
2. Bill, collect and record all student payments and send statements to include registration fees, tuition, and after school care charges.
3. Assist families in setting up payment plans on FACTS.
4. Meets with all new families concerning all financial obligations to the school in regards to the Parental Financial Commitment Agreement. 
5. Manage student accounts to ensure parents fulfill their financial obligations to the school.
6. Process student billing, collections, and monthly reporting for all student accounts through FACTS. 
7. Oversee and coordinate the Financial Aid process for all families. 
8. Examine delinquent accounts and attempt to make collections by personal contact, correspondence, and through the use of collection agencies. 
9. Work with Admissions to manage the re-enrollment season. 
10. Assist the Director of Finance with gathering student account information for analysis and financial reporting.
11. Enter the journal entries for all bank deposits.
12. Follow the Matthew 18 principle in dealing with students, parents, admin, staff, and Board.
13. Represents the school in a favorable and professional manner to the constituency and public.
14. Maintain absolute confidence of all privileged or sensitive information.
15. Maintain and uphold the religious standards of Faith Christian School to include the Lifestyle Statement, Staff Covenant and Statement of Faith.
16. Responsible to disciple, instruct and actively pray for the students on our campus.
17. Responsible to reinforce a Biblical Worldview in every workplace interaction with both students, staff and faculty.
18. Other duties as assigned that are closely related.

Qualifications:

• Must possess and model a personal authentic relationship with Jesus Christ.
• Must have a high level of discernment and wisdom, and the ability to manage confidential information. 
• Ability to work independently and make decisions in accordance with established school policies and procedures, and the school mission and core values.
• Ability to maintain a positive, cooperative and exemplary customer service manner at all times.
• Hands on knowledge of basic accounting principles to include accounts payable, accounts receivables, account statements and statement preparation. 
• Ability to plan, set priorities, and implement work in a disciplined manner to keep multiple projects progressing to completion simultaneously with minimal direction.
• Ability to multi-task with interruptions. 
• Excellent organizational skills. 
• A Bachelor’s Degree is required. At least 2-3 years of experience in this field.
• Must possess a high level of accuracy and strong attention to detail.
• Excellent written and verbal communication skills and the ability to communicate sensitive and/or complex information.
• Strong knowledge of Excel and other Office software is required and experience with student accounting systems is preferred.
