ADMINISTRATIVE TECHNICIAN I

PURPOSE OF CLASSIFICATION:The purpose of this classification is to perform clerical/secretarial work associated with processing information and documentation relating to an assigned department/division.


ESSENTIAL FUNCTIONS:
The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned. This classification is part of the broad-band compensation plan. Duties listed may not be performed by all incumbents, and level may be assigned in accordance with the skills and proficiencies demonstrated by the incumbent.

  • Provides clerical support for an assigned department/division; processes a variety of documentation associated with department operations within designated timeframes and per established procedures.
  • Provides clerical/secretarial support for department director and/or staff of assigned department; maintains calendars and schedules meetings, appointments, or other activities; types, edits, or proofreads correspondence.
  • Performs reception functions; answers telephone calls and greets visitors; ascertains nature of business, directs callers/visitors to appropriate personnel, and records/relays messages; initiates and returns calls as necessary; operates two-way radio to dispatch service crews as needed.
  • Performs customer service functions; provides information/assistance regarding department services, activities, procedures, fees, or other issues; distributes forms/documentation as requested; assists individuals in completing forms; responds to routine questions or complaints and initiates problem resolution.
  • Receives money in payment of various fees/services; records transactions and issues receipts; prepares bank deposits and forwards revenues as appropriate.
  • Assists with preparation of budget documents; enter budgetary data into the computer; prepares budget transfer forms; assists in monitoring departmental expenditures.
  • Processes documentation pertaining to payroll activities; reviews timesheets and timecards for accuracy and completeness; makes applicable calculations and research discrepancies; prepares payroll worksheets/reports and forwards for payment.
  • Processes invoices and vouchers for payment; assigns proper budgetary coding to invoices; research discrepancies and forwards for payment; maintains petty cash funds; issues account receivable checks and reconciles check accounts.
  • Processes work order requests for service/repair work; receives work order requests and enters data into a computer; routes requests to appropriate person; tracks, compiles, and enters costs; closes completed work orders.
  • Provides clerical support for recreation functions; registers participants for recreation/athletic programs/activities; coordinates reservation/rental of recreation facilities; checks participants in/out of programs; issues rental equipment; records daily sales and audits weekly sales.
  • Processes incoming/outgoing mail; sorts, organizes, opens, and/or distributes incoming mail; prepares mail-outs.
  • Operates a computer to enter, retrieve, review or modify data; verifies accuracy of entered data and makes corrections; utilizes word processing, spreadsheet, database, Internet, e-mail, or other programs; performs basic maintenance of computer system and office equipment, such as backing up data or replacing paper, ink, or toner; coordinates service/repair activities as needed.
  • Performs general/clerical tasks, which may include making copies, sending/receiving faxes, emails, and scanned documents, and updating department manuals/documentation.
  • Communicates with supervisor, employees, community service workers, program instructors, other departments, county officials, law enforcement agencies, court officials, inmates, attorneys, victims, defendants, vendors, sales representatives, insurance companies, collection agencies, medical providers, contractors, developers, builders, realtors, inspectors, utility companies, engineers, surveyors, property owners, customers, patients, voters, the public, media contacts, state/federal agencies, outside agencies, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.
  • Maintains confidentiality of departmental issues and documentation.


ADDITIONAL FUNCTIONS

  • Provides assistance or backup coverage to other employees or departments as needed.
  • Performs notarization of documents as needed.
  • Performs miscellaneous tasks associated with operations of a specific department/division as needed; performs other related duties as required.


MINIMUM QUALIFICATIONS

High school diploma or GED; supplemented by 5 months previous experience and/or training involving general office work, secretarial work, reception work, basic bookkeeping, customer service, file maintenance, data entry, and personal computer operations; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
