Founded with the mission to seamlessly integrate art, architecture, and landscape, Glenstone is an art museum located on over 300 acres of rolling hills and unspoiled woodland in Potomac, Maryland. The museum, opened in 2006 and expanded in 2018, offers nearly 60,000 square feet of exhibition space to showcase its collection of more than 1300 works by 200 contemporary artists. With its expansion, Glenstone now has the ability to welcome 100,000 visitors each year, and admission is always free.
Position Overview
Reporting to the Finance Manager, the Accounts Payable Coordinator is an important part of the Finance department in serving the Glenstone team. The role is primarily responsible for processing invoices, issuing payments, and serving as the primary point-of-contact for associates and vendors related to expense processing.
Desired Attributes & Characteristics
The ideal candidate will possess at least three years of experience in accounts payable with a proven track record of professional growth. The candidate should be comfortable working with all members of the organization and commit to timely, thoughtful, and accurate responses. Strong interpersonal skills, discretion, cultural competency, strategic thinking, attention to detail and multitasking abilities are critical in this role.
Key Responsibilities
  • Develop a thorough understanding of the accounts payable workflow system, as well as the accounts payable and cash management modules in the accounting system.
  • Enter invoices in the accounts payable workflow system for department manager’s review and approval.
  • Process vendor and associates payments electronically (a few manual checks).
  • Review bills listing prior to payment to ensure proper GL account coding norms are respected.
  • Ensure payments are made on timely basis and select invoices to be paid on bi-weekly basis.
  • Obtain Controller’s approval and upload ACH/wire payment in banking system for Director of Finance approval.
  • First point-of-contact for Glenstone associates and vendors related to vendor payments and work with vendors to reconcile outstanding balances or disputes.
  • Maintain all accounts payable files, including W-9’s and insurance certificates for vendors.
  • Issue annual 1099 to vendors.
  • Manage recurring monthly invoices i.e, utilities, to ensure invoices are received, entered, and paid on-time, including following up with department managers, as needed.
  • Add new users to the accounting and accounts payable workflow systems and provide individual training on entering and approving expenses.
  • Follow up regularly with associates on credit card receipts and expense processing.
  • Conduct credit card reconciliations in the accounting system.
  • Assist with monthly and annual closings.
  • Receive/sort all incoming mail.
  • Provide administrative support as needed.
  • Other related duties, as assigned
Required Skills & Experience
  • COVID-19 vaccination
  • Associate degree in accounting, finance, or equivalent experience.
  • Minimum three years of experience in accounts payable.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and careful attention to detail.
  • Ability to work independently and collaboratively, as appropriate to the task or project.
  • Ability to maintain confidentiality.
  • Dependable with great work ethic and a high level of integrity.
  • Ability to meet deadlines, maintain flexibility and efficiently manage multiple concurrent work priorities.
  • Proficiency in Microsoft applications, including Outlook, Word, and especially Excel.
Preferred
  • Bachelor’s degree in Accounting or Finance.
  • Experience working in a not-for-profit organization, foundation, or cultural institution.
  • Experience with Sage Intacct and Nexonia.
