You Will

The Coordinator, Facilities & Office Services will perform mailroom duties – deliver all incoming mail to the appropriate mail drops daily, retrieve outgoing mail from each mail drop, presort mail, and prepare for daily pickups. Create shipping labels for express mail and maintain records and reports. Assist with keeping a clean and organized workspace in the mailroom. Assist with managing the copiers on all floors, including chargeback coding for copy services. Perform monthly meter readings of all copy machines, maintain records and reports of meter readings. Troubleshoot copier issues, refill copier with paper, toner, and other supplies, and coordinate repairs with the vendor. Fax Machines – Equipment inventory, maintain supplies, troubleshooting, and coordinate repairs with the vendor. Maintain inventory of office supplies and distribute as needed. The candidate must have the capacity to lift 75-pounds. Assist with other duties as directed by the manager. 

Essential Responsibilities

Responsibilities

  • The Facilities Coordinator will provide support to the Site and/or Assistant Facility Managers with operational activities in maintenance and operations, vendor oversight, equipment and supplies, occupancy services and proactively develop and maintain client relationships ensuring that expected service levels are achieved.
  • Actively support an environment of teamwork, cooperation, performance excellence, and personal success
  • Conduct daily walk-throughs to ensure a clean and organized office
  • Respond to all work orders in a timely manner, ensuring compliance and excellent customer service
  • Identify opportunities for improved operation and service excellence, making recommendations for conduct site inspections and assessments to ensure all building procedures and performance measures are always maintained
  • Schedule and manage repairs and maintenance, minor works, and other work requests, tracking to completion 

Qualifications

  • At least 2-3 year’s experience working in a corporate environment
  • Understanding of basic technical aspects of property (computer room air-conditioning, chiller system, fire protection system, mechanical & electrical system) is important
  • Excellent communication, organization and problem solving skills
  • Ability to work independently with little supervision and effectively deal with stressful situations
  • Self-motivated; confident, energetic, and flexible

Required Competencies

  • Ability to read and comprehend instructions for shipping and receiving packages
  • Knowledge of computer operations
  • Physical stamina to lift 75-pound packages and stacking chairs
  • Knowledge of identifying and reporting safety problems

Required Technical Skills

Office 365 proficiency emphasis in Word, PowerPoint, and Excel

WORK ENVIRONMENT: This job operates in a professional office environment.

POSITION TYPE / EXPECTED HOURS OF WORK: This is a full-time position. Days and hours of work are Monday through Friday with a 35 hour per week schedule. Occasional evening and weekend work may be required as job duties demand.

Salary Range $50,000.00 - $55,000.00
