Role Summary:

Under the general supervision of the Facilities Manager, the incumbent performs a variety of service and support functions for all credit union facilities including, but not limited to: overseeing all internal and external building maintenance; providing back–up to Physical Security Manager for physical security and alarm systems; assisting in the selection and supervision of staff; directing and assisting in records storage and destruction; managing inventory/warehouse for storage of deliverable goods to other facilities; assisting with Capital Improvements; and assisting with coordination, implementation, execution, control and completion of a diverse scope and range of Facility Infrastructure improvements and Capital Construction projects ensuring consistency with the credit union strategy, commitments, and goals, which includes, but is not limited to, development and deployment of new equipment, materials, technology, and services across all facets of the facilities maintenance and construction process. The incumbent has advanced, wide-ranging job knowledge, and a proven ability to handle multiple projects at one time. The incumbent maintains a mature state of professional development, and can act as a mentor, provide coaching, and conduct training as needed.

What You Will Be Doing:

  1. Operate at a high level, combining an in-depth understanding of Facilities operations, our construction industry and the operations of the credit union.
  2. Monitor and ensure contractor compliance for contracts including, but not limited to landscape, janitorial, HVAC, carpet, elevator, outsourced services and snow removal. Resolve contractor problems and issues as needed.
  3. Schedule service and maintenance staff to respond to written work orders; inform managers of work response schedule.
  4. Help develop and adhere to annual Facility Services budget.
  5. Ensure that mechanical systems and other building equipment systems are kept in proper working order and repaired when necessary. Meet standards for safety, standards for OSHA and other governmental regulations, and meet manufacturer’s maintenance requirements.
  6. Respond to telephone and/or pages from staff for emergency assistance.
  7. Act as contact for facilities maintenance, support services, landscape, mechanical systems, elevator maintenance, shipping and receiving services and other areas of responsibility.
  8. Hire, assign and schedule staff to complete functions in all areas of responsibility as needed. Examples include support and maintenance functions, records storage and destruction activities according to the record retention policy, and other related functions.
  9. Maintain a cohesive, highly trained and motivated staff, sufficient to meet daily department demands.
  10. Develop and maintain a productive working relationship with credit union staff and co-workers.
  11. Initiate and maintain contractor relationships for the accomplishment of assigned duties.
  12. Ensure that all assigned inventory is ordered, stored, maintained, and available to support day-to-day operations.
  13. Note observations of employee performance, provide feedback for corrective actions, and prepare performance evaluations within prescribed time frame.
  14. Develop and communicate recommendations for cost efficiencies and enhancements to products, pricing and processes by monitoring trends in operations.
  15. Assist Security Manager with monitoring and maintaining all physical security and alarm systems for credit union locations.
  16. Attend credit union training sessions, conferences, or seminars as approved by supervisor. Maintain awareness of policies and regulations related to duties and responsibilities.
  17. Display leadership values such as mutual respect, honesty, trust and dignity, and act in the best interest of the credit union. Lead by example by displaying solid ethics and integrity at all times.
  18. Control risk and operate in a safe and sound manner.

  20. Maintain and protect all sensitive data utilizing the highest standard of confidentiality and professionalism.
  21. Under the direction of the Facilities Manager and in coordination with the VP of Construction Management, assist with the coordination and oversight of designated projects as needed.
  22. Under the direction of the Facilities Manager, collaborate with the VP of Construction Management to help, define and document the project scope, goals/milestones, tasks, required resources, and schedules.
  23. Assist with the facilitation of project meetings.
  24. Help develop tools and best practices for project management and execution.
  25. Perform other duties as assigned.

Qualifications


What You Will Need:

  1. 8 years of proven Facilities Management and/or Construction Project Management experience.
  2. Equivalent to two-year college degree or equivalent years of direct experience and training.
  3. Experience with Contracts, Purchase Orders, and other documentation associated with procurement and project management in a construction environment.
  4. Working knowledge of CAD or other computer drafting software tools preferred
  5. Excellent verbal, written, listening and conflict management skills.
  6. Effective interpersonal skills to deal with a range/variety of people at all levels of the organization.
  7. Strong project and organizational skills.
  8. Ability to manage multiple large complex tasks and projects simultaneously.
  9. Familiarity with Facilities Management and project management methodologies, tools and/or software packages.
  10. Ability to work independently, as well as collaboratively, with other team members.
  11. Maintain a high level of confidentiality and integrity.
  12. Ability to work across the organization at all levels with a wide range of skillsets and styles. Effectively use the soft skills needed for effective project management.
