Requirements
Assistant Director for Counseling, A-D, Student Financial Services - Georgetown University
Georgetown's Office of Student Financial Services provides counseling and application processing services to 14,500 potential and current undergraduate and graduate applicants for aid each year in scholarship, loan, and work programs.
The Assistant Director for Counseling delivers counseling services to current and prospective students and their families regarding the financial aid process, procedures, and program rules, including information about all federal, state, private, and institutional loan, grant and work programs. For students with last names beginning with letters A through D, they are responsible for preliminary review and processing of financial aid applications, maintenance of all financial aid records, and for written and verbal communication with students to ensure the highest standards of customer/client services and support established procedures to ensure compliance with applicable laws, regulations, and University policies; they also support established procedures to ensure compliance with applicable laws, regulations, and university policies. Georgetown now offers more academic programs that demand special attention. Reporting to the Associate Director for Student Financial Services in one of six such roles, the Assistant Director has duties that include but are not limited to:
Administration of Financial Aid
Performs a central role in enrollment management and is an integral part of the admissions process as it relates to determining and explaining financial aid possibilities to prospective and enrolled students.
Is essential to the successful yield of newly admitted students and to their retention through completion of their respective degrees.
Works closely with students with special circumstances so as to financially enable these students to continue at Georgetown and complete their program of study here.
Counsels and communicates with students and their families and the general public regarding all aspects of student financial assistance, all federal financial aid regulations and University policies, specific aid program characteristics, individual award decisions and revisions, and the role of financial aid awards in the payment of educational expenses.
Provides interpretation of instructions to students and parents on the completion of aid applications.
Prepares aid applications to be analyzed and packages most of the awards and flags those with no financial need.
Demonstrates working knowledge of tax returns as it relates to understanding "real" income.
Utilizes knowledge of the federal and institutional need analysis systems to explain to students and their parents the impact of changes in family circumstances on financial aid awards.
Explains the calculation of the student's and/or family's contribution towards their cost of attendance.
Works at a high level of sophistication to communicate professionally and effectively.
Counsels families about the appeal process and explains the documentation requirements and the use of information regarding various special circumstances.
Ensures that accurate information is provided to families in a positive and constructive manner and supports established procedures to ensure compliance with applicable laws, regulations, and University policies.
Attends career development seminars to improve counseling, listening and customer service skills, and recommends implementation of new methods to improve service.
Participates in community outreach programs to provide financial aid information to various constituencies in the DC/MD/VA area.
Responds professionally and with the highest level of customer service to the various needs of each client, employing the ability to understand the requests from all socio-economic income groups including the "first generation" college constituents as well as the more affluent families.
Quality Assurance in Awarding of Financial Aid
Reviews, evaluates, and processes aid applications in the Banner system for financial aid awarding by maintaining accurate manual files and computer records using established office procedures.
Determines which documents are necessary for an individual student's file to be complete, reviews and records documents upon receipt, and tracks missing items.
Verifies application data with supplemental documentation and makes any necessary corrections to the records to ensure that appropriate data are used to calculate eligibility for financial aid.
Communicates and corresponds with students regarding the status of their aid applications to ensure that the correct information is requested and received in a timely manner.
Creates and maintains paper and electronic financial aid files for students in compliance with federal and University requirements.
Monitors and updates files continuously to ensure chronological order of documents and timely action on supplemental information received and changes in enrollment status.
Prepares all inactive files for document imaging process.
Communication, Consultation, and Resolution
Communicates with Program Coordinators in the Office of Student Financial Services, and staff in other University departments, to resolve issues pertaining to individual students.
Upholds the university policy of confidentiality of student records and other provisions of the Family Educational Rights and Privacy Act.
Communicates with Program Assistant Directors to ensure timely disbursement of federal, institutional, and external funds to students' accounts and to resolve problems that may impede disbursement.
Interprets activity on individual students' accounts, answer questions pertaining to billing statements and the monthly payment plan, consults with Office of Billing and Payment Services staff to ensure that accurate information is reflected on individual students' accounts and provided to students and their families.
Tracks registration status of students receiving financial aid and refer cases to supervisor when enrollment status changes, and supports the registration process by providing information about the status of pending financial aid.
Interfaces with the Registrar's Office staff regarding status changes and any negative impact upon the student's financial aid status caused by changes in the student's enrollment status.
Supports the undergraduate and graduate admissions processes by providing information to Admissions staff regarding the status of individual aid applications.
Communicates with the school deans' offices staff regarding the status of individual aid applications.
Consults with other University staff such as the Center for Multicultural Equity and Access (CMEA), and Office of Global Education regarding student's financial aid and student account issues, and prepares and presents financial aid orientation sessions.
Prepares and presents financial aid sessions at New Student Orientation and Graduate School information sessions to various academic and support departments throughout the year.
Processes work promptly and efficiently, in accordance with the office and the University time requirements to ensure continuity of individual students' university services.
Qualifications
Bachelor's degree
Part-time or full-time work experience with counseling, customer service, and/or administrative support
Demonstrated ability to collect and analyze data and to use independent judgment where appropriate
Excellent interpersonal and communication skills, a demonstrated ability to work with a diverse client population, and commitment to continuous quality improvement and customer services.
Experience with and knowledge of PC based administrative software
Preferred qualifications
Any combination of experience with Ellucian's Banner, COGNOS, and/or Microsoft Office
Knowledge of federal, state, and/or institutional financial aid program rules, regulations, or processes
