GASTON COUNTY SCHOOLS is Hiring a HR - Licensure Specialist Near Gastonia, NC

Definition
An employee in this class performs a variety of clerical duties, which may be of a specialized nature. Detailed instructions or general guides of some variety are available as a reference to the employee. Occasionally the employee may plan, develop, or revise procedures for non-complex work. An employee in this position receives limited supervision.
Duties and Responsibilities 
  • Maintains files of general and confidential records, data files, documents, correspondence, forms, reports, and other materials; posts information to departmental records according to standard procedures.
  • Assists Licensure Coordinator in the maintenance of licensed employee files, applications, and correspondence to North Carolina Department of Public Instruction (NCDPI) for licensing renewals of teachers, etc. 
  • Assists with fielding questions and communicating with employees
  • Assists with problem-solving and updating information in Oracle
  • Transcribes information onto forms, and processes letters, memoranda, reports, tabulations, statements, various card records, and other materials from rough drafts or detailed instructions. 
  • Completes forms, spreadsheets, or form letters with designated or routine information. 
  • Operates copying machines, adding machines, personal computers, and other office equipment. 
  • Receives standardized reports and compiles data into summary or consolidated form.
  • Accesses information as needed from the Educational Directory & Demographic Information Exchange (EDDIE) system to assist with reporting of Continuing Education Units (CEUs).
  • Performs a variety of minor administrative tasks in relieving a supervisor of office details. 
  • Functions as Receptionist backup for the Division of Resource Management facility.
  • Scans files to archived imaging from school sites and other licensure-related documents received.
  • Performs related work as required.

Knowledge, Skills, and Abilities 
  • General knowledge of the operations of the department. 
  • General knowledge and ability to use correct grammar, spelling, and punctuation. 
  • General knowledge of modern office practices. 
  • General knowledge of common word processing, spreadsheet, and file maintenance programs. 
  • General knowledge of the principles of organization and administration. 
  • Ability to communicate effectively in person, by telephone, and in written correspondence.
  • Ability to work independently with little direction.
  • Ability to multitask.
  • Ability to transcribe information and prepare standardized forms, letters, and reports from that information. 
  • Ability to operate common office machines.
  • Ability to sort and distribute documents. 
  • Ability to maintain complete and accurate records and to develop standard reports from those records. 
  • Ability to respond to questions based on considerable knowledge of the department. 
  • Ability to understand and follow oral and written instructions. 
  • Ability to type accurately at a moderate rate of speed. 
  • Ability to establish and maintain effective working relationships with a wide variety of employees as necessitated by work assignments. 
  • Ability to establish effective working relationships with supervisors, fellow employees, school personnel, and guests.
  • Ability to be tactful and courteous.
Physical Requirements
  • Must be able to use a variety of automated office equipment such as computers, copiers, typewriters, calculators, etc. 
  • Must be able to exert a negligible amount of up to 20 pounds of force frequently or 10 pounds constantly to lift, carry, push, pull, or otherwise move objects. 
  • Due to the amount of time spent standing and/or walking, physical requirements are consistent with those for Light Work.
  • Requires the ability to talk and hear: (Talking: expressing or exchanging ideas by means of spoken words. Hearing: perceiving the nature of sounds by ear). Must be able to communicate via the telephone.
  • Requires the ability to speak and/or signal people to convey or exchange information. Includes receiving instructions, assignments, and/or directions from administrators. 
  • Requires the ability to coordinate hands and eyes rapidly and accurately in using office equipment.
Minimum Education and Experience 
  • Minimum high school graduate or equivalent.
  • Minimum of two years of post-secondary business/office education is preferred.
  • Minimum of three years of office experience.
  • Computer skills required (demonstration may be required if interviewed).
This Position Reports Directly to: Licensure Coordinator
Salary: Grade 67 (Entry Level)
