Overview:
We are seeking clerical, organizational, and administrative support to join our team. The Office Administrator works under the direction of the pastor, and with staff for the ministries of our reconciling congregation. This is a part-time position with some flexible hours.
General skills:
-Maintain a professional welcoming presence, always using discretion and confidentiality.
-Maintain a professional demeanor when communicating in person, by phone, or through
electronic media. Be able to demonstrate good communication and listening skills.
-Be able to prioritize job duties and tasks, attend to details, and provide weekly updates to
pastor on all work.
-Be proficient with Microsoft Office Products, ChurchTrac, Mailchimp, Google Slides, and
appropriate social media outlets.
-Be a self-starter with the ability to follow through and remain poised under stress.
-Be available to be in the office two times a week and for Sunday afternoon worship.
-Pass a national background check.
Primary Weekly Duties:
-Receive and/or retrieve phone calls and emails. Document and communicate messages to
pastor, staff, and volunteers as needed.
-Retrieve and distribute mail from post office box.
-Organize and manage all requests from pastor or church teams by prioritizing need, urgency, and importance.
-Accurately maintain church calendar with all events for use by pastor, church teams, and
congregation.
-Publish weekly Bulletins for Sunday worship in a timely manner.
-Update and publish weekly Messenger to distribute both electronically and by mail as
requested.
-Use Google Slides to prepare slides for weekly worship service.
-Receive and track prayer requests and give to pastor and prayer chain volunteers.
Maintain and update, weekly, or as needed, the church website, Facebook page, and
ChurchTrac program.
-Prepare and distribute notices, advance agendas, and meeting minutes for all meetings of
pastor and church teams.
-Serve on Sunday worship tech team and supervise one technical support staff; troubleshoot as needed to assure smooth presentations during worship and YouTube. Manage team schedules and ensure the accuracy of presentations.
-Purchase and manage office supplies and materials.
-Oversee security and distribution of coffee hour funds.
-Keep the narthex bulletin board current and relevant.
-Assist in marketing Garden Street UMC in the local community, alerting pastor to
opportunities that become available.
-Communicate with Pacific Northwest Annual Conference District office as needed by pastor.
-Prepare checks for signers as directed by the Treasurer.
-Other duties as assigned.
Primary Seasonal/Annual Duties:
-Prepare materials, as needed, for all special church seasons, including but not limited to, Lent, Easter, Advent, Christmas.
-Communicate special worship services through appropriate social media outlets.
-Prepare Annual Charge Conference Reports for presentation to District Superintendent, as directed by pastor.
Qualifications:
-Office experience, 3-5 years, with experience as Office Administrator, or similar.
-Excellent organizational skills in the ability to prioritize tasks.
-Technical skills with all programs listed above, and/or the ability to become proficient.
-Attention to detail and accuracy in all work performed.
-Exceptional communication skills, both written and verbal.
-Ability to handle confidential information with discretion.

Evaluation:
A performance evaluation occurs after the first six months of employment and then yearly thereafter. The performance evaluation will be conducted by the pastor and a member of the Board of Stewards.
