Garden Communities CA is Hiring a Customer Service Operations Specialist Near San Diego, CA

SUMMARY:

The Customer Service Operations Specialist is responsible for supporting the Operations Managers, Customer Service Associates, Maintenance and Property Managers in providing services to the Garden Communities Family of Properties (“Garden Communities”) with past unit concerns and resident concerns. This person will serve as a secondary contact for tenant services. This person will be responsible for planning, preparing, organizing, and maintaining department records. This person will assist with tenant relations and coordinates tenant requests and administration of maintenance services accordingly. This person will be responsible for the coordination of the day-today-activity and create and maintain reports and carry out other department-related duties as necessary.

ESSENTIAL DUTIES & RESPONSIBILITIES:

The Customer Service Operations Specialist’s duties and responsibilities include, but are not limited to, the following:

  • Assisting Department Personnel with hard copy and electronic filing, maintaining office supply inventory, and ordering supplies.
  • Assisting with preparing and maintaining documentation and spreadsheets for various department items, such as vehicle tracking, rent credits, and others as assigned.
  • Monitor water penetration work orders for accuracy, quality, and completion for insurance claims.
  • Back up for processing insurance claims.
  • Back up/support Customer Services Associates (see CSA job description).
  • Other duties as may be assigned.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION/EXPERIENCE:

  • High school diploma or the equivalent is required, college associates or bachelor’s degree desirable.
  • Customer service experience is desirable but not required.

TECHNICAL SKILLS REQUIRED:

  • To perform this job successfully, an individual should have working knowledge of word processing software and Microsoft Office Suite.

PHYSICAL DEMANDS:

  • Must be able to lift, push, pull, and/or move up to 25 pounds. Regularly required to sit, walk, stand, stoop, bend, squat, open doors, and climb/ descend stairs.
  • Operate standard office equipment (computers, phones, copier, fax machine or scanner) and do filing.

COMMUNICATIONS:

  • Must be able to communicate effectively (orally and written) in a professional manner on a regular basis with management and co-workers within the company as well as residents and outside vendors. Works well as part of a team. Follows instructions and responds to management’s direction. Takes constructive criticism and uses it as a learning tool.

SUPERVISORY RESPONSIBILITIES:

  • This position has no supervisory responsibility.

ATTENDANCE AND PUNCTUALITY:

  • Is reliable and consistently at work and on time. Willing to travel, and work evenings, weekends, and holidays, as needed.

TRAVEL

  • May be required to travel within the Southern California Region.

Pay range: $34-$44/hr.
