GAP Solutions, Inc. is Hiring a Facilities Management Coordinator Near Rockville, MD

Provide services as a Facilities Management Coordinator in support of the overall functions of the Advanced Research Projects Agency for Health (ARPAH) within the National Institutes of Health (NIH). The position will be responsible for coordinating facility renovation projects, including coordinating space, equipment, IT, and related functions as necessary.

Duties and Responsibilities:

  • Employ both qualitative and quantitative analysis methods to evaluate new and innovative ways to continuously improve the efficiency and effectiveness of facilities and maintenance operations and institute them into standard operating procedures (SOPs).
  • Spearhead daily building maintenance requests and needs (both regular and emergency). 4
  • Coordinate and monitor minor construction/renovation projects. 5
  • Perform management of multiple projects from design through construction completion.
  • Participate in planning meetings with space and staff, building architects and engineers regarding space and construction projects.
  • Provide report evaluations, planning, programming, studies and investigations, and design concept reviews in support of various facility designs, renovations and new construction projects.
  • Confer with staff to determine factors affecting planning interior environments, such as budget, architectural preferences, purpose and function.
  • Provide consultation on facility renovation and remodeling projects.
  • Serve as Project Manager for the planning and coordination of staff and furniture relocations.
  • Survey space areas regularly and record any updated or revised locations and use of all electric and LAN outlets, specialized utilities, and/or moved walls or doors.
  • Coordinate space, telecommunications, safety, timelines, etc. for relocation of research and administrative staff, renovation of facilities, installation of utility systems for specialized equipment or functions as needed. 1
  • Coordinate with staff to develop and issue emergency preparedness and response plans and related documents for all facilities.
  • Work with staff to create and implement plans to prepare for, prevent, mitigate, respond to, and recover from all types of hazards and a full spectrum of threats; natural, man-made, technological and national security emergencies.
  • Work with staff on institute emergency in mitigation, preparedness, response and recovery activities.
  • Maintain and/or verify building occupant safety devices and mechanisms are in place and operational annually such as emergency phones, automated external defibrillators, and emergency signage placement.
  • Update and maintain emergency plans, floor plans and other documentation used in emergency planning and response activities. 2
  • Collaborate with staff as to reutilization of materials, furniture and other stored items for future reuse. 3
  • Collaborate with technical staff at the onset of a new renovation project to help acquire all the needs for the project; create scaled layout options in AutoCAD to access the feasibility of the layouts and to maintain a single detailed representation of all requirements.
  • Create budget projections for all aspects of renovations, including design, fee for service, construction, move costs, furniture costs and commissioning; serve as main point of contact for tracking of all renovations with emphasis on the end of the fiscal year to close out budget.
  • Solicit technical input from subject matter experts as required on special requirements for research or administrativespace.
  • Monitor schedule and cost of major projects for excessive cost overruns or claims; establish reporting systems toensure that timely notification is provided to the government representative of any deviation from original budget or schedule.
  • Collaborate with investigators and construction staff to find cost-effective solutions on all renovation, repair and improvement projects.

Basic Qualifications:

  • Associate’s degree required.
  • Skilled in Microsoft Office.
  • Experienced in oversight of building projects, renovations, or refurbishments.
  • Experienced in facility maintenance, grounds maintenance, managing budgets, and allocation and management of building space.

Minimum Qualifications:

  • Ability to plan and execute office relocation and space acquisition.
  • Ability to multi-task and pay close attention to detail.
  • Excellent analytical, organizational and time management skills.
  • Strong communication skills, both oral and written.
