ABOUT THE ROLE - Workplace Experience Coordinator (HR/Recruiting Coordinator)

Our employees are the strength of our service. The Workplace Experience Coordinator is the main point of contact for all employees joining our organization. From making sure the application process is compliant and hassle-free to walking hand in hand throughout the badging process.

ESSENTIAL DUTIES & RESPONSIBILITIES include but are not limited to:

  • Primary point of contact for employees by managing employee requests or queries via People Resource Center.
  • Welcomes new employees to the organization and provides an overview of the pre-employment process within 2 days of offer acceptance
  • Facilitates and monitors the onboarding process to ensure that key deadlines are met and all appropriate tasks are completed timely and thoroughly including offer letter, necessary badging appointment and follow-up, background check, and employment verification checks.
  • Initiates and executes background check
  • Determines appropriate action and proactively follows up with candidates when there are challenges in verifying education, references, certifications, etc.
  • Acts as a liaison between newly hired employees, the COR, and the hiring manager, to ensure timely onboarding that adheres to all credentialing standards.
  • Completes I-9 forms accurately and processes information through e-verify.
  • Ensures data integrity through accurate use and documentation within Human Resources Capital Management System and other team collaboration tools.
  • Ensures all information for new hires are complete and accurately recorded in UKG Ready/Workforce.
  • Ensures all new hires are consistently entered in a timely manner.
  • Communicates with new hires and hiring managers that new hires are cleared to start.
  • Welcomes new hires at new employee orientation, answers questions and ensures that all attending orientation have been cleared to start.
  • Participates in committees and projects as needed.
  • When new systems/procedures are to be introduced, assist in the preparation of a training and/or transition plan in anticipation of any new procedures.
  • Maintains knowledge of, and complies with, all relevant laws, regulations, policies, procedures and standards.
  • Actively participates in creating and implementing improvements to team processes and procedures.
  • Partners with cross-functional teams effectively to maximize performance, utilizing communication skills, facilitation skills, and knowledge of team dynamics and adapting to change

KNOWLEDGE, SKILLS & ABILITIES

Must Have

  • Proven ability to prioritize and handle multiple tasks at once; strong attention to detail is a must
  • Ability to identify solutions independently and make sound business decisions
  • Ability to work successfully and professionally with all levels of employees and management
  • Proven effective communication and organizational skills, with experience working in a fast-paced and high-volume environment
  • Experience with Microsoft Outlook, Word and Excel with ability to learn new technology tools
  • Experience working with UKG Ready or any other Applicant Tracking Systems/Recruiting system is a plus
  • Soft skills (personality, relationship building, communication skills, stress management)
  • Incredible organization skills and attention to detail
  • Strong problem solving skills in a fast paced environment
  • Ability to capture requirements and create streamlined repeatable processes
  • Minimum of 6 months of related work experience or a Bachelor's degree
  • At least 2 years of work experience in a customer support, coordination or related type of position
  • High energy individual that loves learning
  • Strong oral and written communication skills necessary to interact diplomatically with diverse groups of people, exchange information and produce written correspondence.
  • Effective management of projects, deadlines, and work load prioritizing
  • Demonstrated ability to exercise good judgment in handling sensitive and confidential information and situations.
  • Strong critical thinking skills and attention to detail in order to problem solve and/or triage issues.
  • Work requires the analytical skills to gather and interpret data in situations in which the information or problems are relatively routine.
  • Ability to work as a team member.
  • Authorization to work in USA for any employer
  • Must be able to travel occasionally to HQ and employee site locations 

Nice to Have

  • Experience within Human Resources and/or Recruiting preferred, or a demonstrated career interest in these areasKnowledge of HR practices and procedures
  • Understanding of Labor Laws and employment equity regulations

WORK ENVIRONMENT

The work environment varies depending on assigned responsibility with work from home and occasional travel to HQ and offsite events/employee visits. Outside conditions exist when traveling to and from customer/employee sites.
