Summary

The Special Events Producer is responsible for supporting the Agency Event Production – Special Event operations team in conjunction with other Freeman lines of business to develop and execute industry-leading experiential marketing programs globally.

Essential Duties & Responsibilities

Must possess advanced knowledge of all financial aspects of event production, technical production, entertainment production, venue operations, and food & beverage with exceptional analytical skills. It is essential to have advanced proficiency in contracting, negotiation skills and the in-depth ability to evaluate and address risks associated with all aspects of a program. Must possess superior customer services skills and be an inherent problem-solver who is equally knowledgeable in the creative, operational, technical and management aspects of the role.
  • Must possess advanced knowledge of all financial aspects of event production, technical production, entertainment production, marketing, venue operations, and catering with exceptional analytical skills.
  • Must have advanced proficiency in contracting, negotiation skills and the in-depth ability to evaluate and address risks associated with all aspects of a program.
  • Must be proficient in account management and business retention, possess superior sales and customer services skills, and be an inherent problem-solver who is equally knowledgeable in the creative, operational, technical and management aspects of the role.
  • Works cross-functionally with teams (sales, strategy, creative, entertainment, digital, operations, production, AV, F&B and finance) to special events ranging in size and manage multiple workstreams. Strong negotiating and contracting skills are a must.
  • Creates and manages budgets, vendor invoice/expense tracking and final reconciliation. Develop and track project schedules, agendas and show flows as needed. Drives timeline with team and clients.
  • Runs weekly team and client meetings and prepares follow-up notes and action item reports.
  • Provides various event reports, analytics and audits.
  • Ensures programs are within budget and meeting profit margin goals.
  • Ensures flawless execution, quality of service and timely delivery of all necessary components, properties, and materials for each event.
  • Actively participates in creative ideation, collaborating with the Creative and Account teams to brainstorm and generate concepts.
  • Acts as day-to-day client lead.
  • Develops project plan, production schedule and project budget that meet client's requirements.
  • Collaborates and communicates with technical teams and provides direction to project staff.
  • Organizes and conducts initial site inspections.
  • Oversees all production aspects of events.
  • Thorough understanding of permitting standards and ability to successfully manage production timelines and needs as related to permit procurement.
  • Implements the original creative vision for the event by contracting venues, audio visual, catering, talent and technical staff according to the requirement of the special event director.

Education & Experience

  • Bachelor’s degree from four-year accredited college or university.
  • Minimum 5 years’ experience in the experiential marketing and events industry specializing in operations, creative and strategy, multi-dimensional design and program development and execution for Fortune 500 clients.
  • Experience with various project types, including live and digital events, brand activations, and strategic consulting.
  • Must have agency experience.
