Job Title: Administrative Assistant III
Department: Workforce & Economic Development, Rockwell Campus
Reports Directly To: Director, Workforce & Economic Development

Job Group: I, Non-Exempt
Salary Range: $32,741 - $40,074

Position Closing Date: April 14, 2022

Primary Function of Position: Provides administrative support to the Workforce & Economic Development Department (WED). Provides administrative support to the WED director, assistant and staff. Assumes role of general office manager.

Essential Job Functions:

  • Performs word processing for documents, reports, and mailing lists for correspondence.
  • Provides accurate documents according to specifications and time frames.
  • Maintain a department-wide calendar.
  • Maintains computer or hard copy files of all documents. Assists customers and former students with locating records and certificates.
  • Maintains a database of Advisory Committees for all programs, prepares correspondence, and provides assistance to instructional staff in preparation of Advisory Committee meetings.
  • Assists in the development of community profiles.
  • Supports economic development initiatives within the department including reporting of classes, and State level incentive programs.
  • Maintain files for program operating budgets.
  • Manages WED Care Fund and intra-department recognition and events.
  • Manages new hire paperwork, including adjuncts and vendors.
  • Manages workroom and breakroom, including keeping areas organized and managing inventory or office and breakroom supplies, works with appropriate vendors, including the Meadows for recycling.
  • Manages orders and purchases that must be done using P-card.
  • Verifies departmental staff’s monthly work records for accuracy.
  • Works with Director and Assistant Director on Board agenda items for submittal.
  • Attends and participates in team meetings, support staff meetings, and all-school faculty and staff meetings.
  • Serves on appropriate school committees as the need arises.
  • Receives expense and mileage reports.
  • Provides notary services.
  • Manages vehicle reservations and gas receipts.
  • Provides customer service to visitors and internal customers of the Workforce & Economic Development Department.
  • Works cooperatively with other support staff in support of the department’s goals.
  • Ability to be present on the job as described under working conditions and contract details.
  • Other duties as assigned.

Knowledge, Skills, and Abilities:

  • High school diploma or equivalent required.
  • Minimum of three (3) years of administrative experience required.
  • Administrative experience in an educational setting a plus.
  • Must be capable of maintaining confidentially of information.
  • Ability to work independently with limited supervision and direction.
  • Ability and desire to maintain/manage an efficient, well-organized office area.
  • Ability to excel in a fast-paced work environment by prioritizing tasks and projects.
  • Ability to understand and meet critical deadlines.
  • Exceptional verbal and written communication skills.
  • Proficiency in all Microsoft Office components (Excel, Word, PowerPoint) with excellent proofing, grammar, and spelling skills.
  • Ability to consistently deliver superior customer service and work quality to internal and external customers.
  • Strong flexibility, time management, and organizational skills.
  • Ability to manage multiple tasks or projects with a sense of urgency.
  • Anticipate needs, be resourceful and have the ability to build strong employee partnerships within the organization.

Working Conditions:
Requires sitting for extended periods of time. Lifting limit of twenty-five (25) pounds. Low-level machine noise is encountered throughout the day. Concentrated visual effort is required. Extensive communication with internal and external customers. Reliable, dependable and punctual attendance. This is not an exhaustive list and reasonable accommodations will be made as needed.

Organizational Relationship:
Full-time, non-exempt personnel position reports directly to the Director of Workforce and Economic Development.

Contract Details:
Twelve month contract subject to annual renewal. Working days and hours are Monday through Friday, 8:00 a.m. – 4:30 p.m.
