FOUR RIVERS CULTURAL CENTER AND MUSEUM POSITION DESCRIPTION

TITLE: Executive Director

JOB SUMMARY

The Executive Director of the facility and operations is responsible for the day-to-day operation of the complete facility including planning, staffing, financial, appearance and function. This position operates as the purchasing authority as dictated within budgetary guidelines. The Executive Director is responsible to the Board of Directors.

DUTIES:
Personnel

  • Screens, hires, orients, supervises, supports, and schedules operating staff for the facility.
  • Maintains current personnel files on all active employees. Ensures that employees have valid position description and performance evaluations.
  • Responsible for maintaining records on inactive employees, position recruitment and interviews in compliance with standard retention periods.
  • Monitors the facility policies and procedures manuals and provides updates as it becomes necessary. Responsible for new employee orientation, ensures benefit compliance and issuance of employee handbook.
  • Oversee caterer to assure that the kitchen is in compliance with Oregon Health codes and regulations.

Financial

  • Responsible for overseeing accounting functions.
  • Responsible for preparation, compilation, and presentation of an annual operating plan to include objectives, operating plan, annual budget, labor budget, sales and marketing plan, funding and development plan, gift shop plan, and education plan as approved by the Board of Directors. Ensures monthly progress reports to the Board of Directors.
  • Oversee maintenance of databases for memberships, donors, theater donations, and in-kind donations.

Marketing

  • Research, develop and present the annual strategic marketing plan to the Board of Directors. Project usage and revenues for each component. Update progress monthly at regular meeting and presenting sales report.
  • Develop print materials, presentations and displays as needed to market the facility. Attend trade shows, conferences, and meetings as necessary to achieve convention sales. Manage all programming for center including booking and promoting special exhibits, art shows, theater events, and increase museum attendance.
  • Direct Web Master with changes in the web site designs as center evolves and changes occur.

Relations with Board, the Public and Other Entities

  • Regularly inform the Board and its Committees of ongoing issues affecting the facility and provide the Board with information necessary to permit the Board to perform its oversight functions.
  • Implement policies and directives approved by the Board of Directors.
  • Attend meetings of the Board and those Board Committees in which the Executive Director's presence is requested.
  • Issue press releases concerning the facility.
  • Maintain good relations with the facility, including but not limited to Treasure Valley Community College, the Ontario Chamber of Commerce, the Ontario Visitors and Convention Bureau, the City of Ontario, Eastern Oregon University, and the Four Rivers Charter School.

Other

  • Organize and implement training and workshops for Four Rivers center staff and volunteers.
  • Directs staff and volunteers in maintaining museum and art exhibits and supervise accessions of museum collection.
  • Negotiate agreements, rentals and facility use beyond the scope of the Events & Sales Coordinator.
  • Supports and assist volunteer coordination in maximizing staffing efficiency.
  • Secure information and financials necessary for funding proposals and reporting.
  • Ensure facility availability and set up for fundraising events and campaigns.
  • Maintain information and statistics pertinent for writing grants.
  • Research grant applications for support for the museum, theater, Japanese Garden, and humanities programs.
  • Assist in maintaining an ongoing list of evaluations of Gift Shop revenue and costs.

QUALIFICATIONS:

A bachelor’s degree and a minimum of three years applicable work experience or five years of applicable work experience performing skills related to the nature of the position and three of those years serving in a management and supervisory capacity. Knowledge of basic accounting, budget, and plan development. Working knowledge of physical and staffing operations. Excellent organizational and negotiation skills. Ability to deal with the public and maintain customer service in times of multiple demands.

WORKING CONDITIONS:

The office of the Executive Director is located at the back wall of the Center lobby. It is accessible to the public and may frequently receive drop-ins, excessive foot-traffic, and phone contacts daily. This position is required to maintain a flexible work schedule and occasional long hours. In order to accommodate events, hours may begin early in the day or extend to very late at night for opening and closure of the building.
