POSITION DESCRIPTION

TITLE: DIRECTOR OF FINANCE

JOB SUMMARY

The Finance Director position is responsible for accounting procedures necessary to the operation of Four Rivers Cultural Center and Museum. They are the primary contact regarding payment to vendors for the facility, all revenue, and expenditures, compiling payroll, reconciling bank statements, ensuring that the inventory for the gift shop is completed, and provides all necessary information for the annual report/audit.

This position must ensure excellent customer service and professionalism as you interact with donors, vendors, customers, staff and community stakeholders daily. You must have experience with fiscal management and reporting required of a 501(c)3 nonprofit. The finance manager reports directly to the Executive Director.

RESPONSIBILITIES:

  • Responsible for securing operating cash to maintain reserve cash drawers and provide for cash flow.
  • Responsible for assembling, reconciling, and placing cash drawers for gift shop and ticket counters as well as preparing the closing report for each day.
  • Responsible for compiling bank deposits inclusive of all operations within the center and provides them to the executive director for deposit.
  • Maintains petty cash account and event ticket sales and reconciles account for reimbursement.
  • Ensures banking is completed, checks are written, and financial reports are completed in an accurate and timely fashion.
  • Acts as liaison with CPA for annual audit and tax requirements by compiling all necessary information for year-end reports.
  • Administers funds as directed by the Executive Director, and when applicable within grant guidelines.
  • Responsible for preparation of monthly financial documents to be presented to the Board of Directors at monthly board meetings.
  • Develops financial reports as requested by the Executive Director.
  • Reviews time sheets, secures signatures from executive director, completes and maintains all payroll reports in a timely fashion.
  • Produce staff paychecks
  • Calculate payroll reimbursement
  • Calculate Federal and State taxes and make EFTPS payments on time.
  • Send out client statements/double check client status with Event and Sales Director
  • Maintain vendor and employee files
  • Produce client invoices from contracts provided by Events and Sales Director
  • Produce remittals for client payments on invoices
  • Correct any billing adjustments
  • Maintain list of catering bookings both food and bar
  • Batching out of Visa Sales
  • Enter bills into Accounts Payable, putting them into the correct expense accounts and breaking the expenses into classes
  • Supervise the receiving and pricing of new gift shop inventory
  • Supervise the maintenance of Gift Shop purchase orders/buying
  • Supervise the Gift Shop inventory of consignment items
  • Ensure that all transactions are posted to enable the closing of the monthly books for FRCC
  • Produce Oregon State SUTA) and Federal (941) quarterly tax reports by deadline (April, July, October, January).
  • Produce payment of quarterly taxes due (usually just State) by deadline
  • Provide financial information for grant writing purposes and development statistics
  • Produce employee W2’s and submit W3s by deadline
  • Produce 1099s and submit 1096 by deadline
  • Complete total Gift Shop inventory as the June 30 fiscal completion
  • Remove money from the donation boxes and record the income
  • Prepare invoices for office rentals, utilities, and commons reimbursement.

GENERAL:

  • Assist in providing reception coverage as needed and with staff and volunteer coverage during absences
  • Update stats for museum attendance, volunteer hours, and donations of gifts.
  • All other activities performed as necessary to open and close the museum, the building for a safe, clean, and presentable facility.

QUALIFICATIONS:

A Bachelor's Degree in a related field of study is preferred and a minimum of three years’ experience in general bookkeeping. The applicant must have knowledge of general accounting principles, accounting software application (preferably QuickBooks), building program budgets and donation and grant management/reporting. The applicant must also deal with the public and maintain exceptional customer services in times of multiple demands.

WORKING CONDITIONS:

The accounting office is located at the entrance of the facility and has an open-door policy. The person selected for this position will need to be able to maintain accuracy in all areas regardless of multiple interruptions.
