Forma Plastic Surgery is Hiring a Medical Front Office Coordinator Near Scottsdale, AZ

· Must possess educational (or equivocal work) experience in medical office coordination with strong skills in administrative assisting and clerical functions.

- Possess an outgoing, upbeat personality while talking with patients both on the phone and in-person

- Answers external and internal phone calls and transfers calls to appropriate department or relays messages accordingly.

- Promote services and products to new and existing patients

· Greets visitors and patients warmly with a smile. Offers visitors something to drink.

· Follows Front Desk Protocol to ensure clinic and post clinic procedures run smoothly.

· Collects patient payments.

· Schedules and confirms all non-patient and patient appointments.

· Provides patients with registration forms via email or in-office and answers questions that might pertain to registration and/or their appointment.

· Data entry of all new patient information in electronic medical records system and billing system.

· Collection and input of all patient records into the electronic medical records system.

· Initiation and maintenance of correspondence with patients and insurance companies to include necessary prior authorization of new patient and/or follow up visits with multiple providers as well as to verify patient health benefits.

· Opens and closes the office, making sure that the waiting room is clean and organized. Also making sure that telephones are forwarded to the answering service and that all entrances to the building are closed and locked properly.

· Tracks inventory of office products and supplies to report for purchasing.

· Backup patient coordinator with overflow duties.

· Assist Office Manager with overflow duties.

· Posts payments to Payment Log and I&E.

· Batches Daily Totals Reports daily, balancing previous day’s Front Desk and CC Receipts, emails to Bookkeeper, Manager, and Billing.

· Respects and maintains privacy and dignity of patients and staff members at all times.

· Must maintain a polished and professional appearance.

· Must be goal oriented.

· Must be able to multitask and follow through with projects or assignments to completion.

· Must be attentive to detail.

Must maintain a positive, flexible attitude.

· Must possess the ability to properly communicate to and with patients.

· Must have experience with EMR (electronic medical records) software programs.

· Must be experienced with CRM (customer relationship management) software programs.

· Must be proficient with Microsoft Word, Excel, and Outlook.

· Must be able to talk on the telephone for up to sixty (60) minutes at a time.

· Must be able to move small pieces of equipment (up to 20 lbs.) from room to room.

· Must be able to stand for up to sixty (60) minutes at a time when present at patient consultations.

· Must be able to work at a computer for prolonged periods of time.

· Must be able to work in a fast-paced office with multiple phone lines ringing simultaneously while patients are checking in and checking out.

· Must be able to ignore sometimes hectic and noisy lobby sounds to focus on rooming patients and answering calls in an efficient, focused manner.
