Forefront Living is Hiring a Foundation Administrative Assistant - Part-time Near Dallas, TX

Position Description:

Come join our Forefront Living Foundation team and help assist in our mission in making moments matter for those we serve.

The Foundation Administrative Assistant role works closely with the Foundation Executive Director, Foundation staff and donors. The position is a very important role that will help the Foundation team with event coordination, fundraising, and maintaining relationships with donors.

The diverse functions of this position also require the ability to juggle competing priorities, initiative, proactive problem-solving and sound decision-making with the goal of achieving clear communication, efficient office operations and procedures, and effective management of multiple projects. A high degree of flexibility, discretion and confidentiality are required.

Responsibilities:

  • Assist Executive Director in tracking project budgets
  • Create and manage monthly donor communication email
  • Manage assigned projects and events
  • Oversee printing and distribution of Foundation collateral materials
  • Responsible for regular, large donor mailings from start to finish: mail merge, print and prepare for mailing
  • Assist with planning of a wide variety of event types from board meetings and retreats to fundraising and donor recognition events
  • Assist with planning and purchasing of donor recognition gifts as well as gifts for significant life events of key constituents
  • Fulfill office errands such as dropping off mailers to post office, purchasing stamps, and other similar duties
  • Oversee Foundation calendar as well as calendar of Executive Director.
  • Coordinate with leadership team and other entities as required
  • Ensure Foundation supplies are stocked and keep the supply room neat and organized
  • Assist with staff teambuilding and outreach activities
  • Responsible for the set up/breakdown of meeting rooms for Foundation events
  • Greets and directs Foundation donors and guests. Notifies the appropriate teammate and escorts the visitor to the appropriate meeting room
  • Perform other similar duties as assigned or required by the Executive Director and Foundation team
  • Models a service attitude towards others, takes ownership in solving problems and takes the initiative to make things better, is friendly and courteous to residents, patients and co workers
  • Able to demonstrate our Values of Diversity, Integrity, Stewardship and Compassion in performance of daily responsibilities and interactions with donors, board members, residents, patients and teammates

Minimum Qualifications:

  • Bachelors degree in business or equivalent experience
  • Experience in non-profit or related field preferred but not required
  • Skills in Grant writing preferred but not required
  • Strong working knowledge of MS Office including Word, Excel, PowerPoint, Outlook and
  • Constant Contact
  • Experience with design software preferred but not required
  • Ability to communicate with all levels of teammates and provide exceptional customer service
  • Ability to manage many functions and projects concurrently
  • Ability to maintain strict confidentiality
  • Genuine caring for and interest in the care of mature adults, children, people with disabilities and hospice patients
  • Excellent oral and written communication skills, interpersonal skills and computer literacy
