Ford’s Theatre Society is hiring an Associate Director of Finance to join its team. The position is full-time and based in Washington, DC.

The Associate Director of Finance is responsible for the management and integrity of financial information and systems for the society to ensure a healthy monetary program; partners with the other departments in the continued development and integration of the financial management system with the other organizational systems; works with other departments to develop, implement, and monitor budgets.

All Ford’s Theatre Society employees are required to actively participate in the Society’s ongoing efforts to become an anti-racist organization. PRINCIPAL RESPONSIBILITIES:

  • With the Director of Finance establishes, implements and monitors accounting procedures to maximize efficiency in processing financial transactions in accordance with organization policy, GAAP and legislation.
  • Proposes, Institutes and maintains financial planning and control procedures.
  • Responsible for the ongoing and overall integrity of the General Ledger including account reconciliation and schedules as necessary.
  • Maintains and revises the chart of accounts to ensure proper classification of revenue and expenses.
  • Monitors banking transactions and procedures, including preparing monthly bank account reconciliations.
  • Oversees accounts payable functions, supervising check and ACH payments, account coding and cash availability.
  • Oversees accounts receivable and cash receipts functions.
  • Assists the Director of Finance prepare cash flow comparisons, financial forecasts, and monthly and year-end financial statements.
  • Responsible for tax planning, report filing and compliance with all federal, state, and local corporate laws and taxes, payroll, and other applicable taxes.
  • Works closely with independent auditors to coordinate and implement the annual audit and IRS 990 filing.
  • Participates with the Director, Director of Finance, and department directors on the development and monitoring of the annual budget and related coding and progress reports.
  • Attends Finance Committee meetings and provides support through data preparation, minutes, and meeting coordination.
  • Works with other departments toward integration of various data systems as it pertains to financial controls and reconciliation with the accounting system.

14. Serves as backup to the Accounting, Payroll, and Office Services Manager in the processing of payroll, accounts payable, and cash receipts.

1. Oversees payroll functions to ensure accurate and timely processing in compliance with all applicable laws.

2. Stays informed of Union rules as they relate to payroll and withholdings.

3. Maintains up to date knowledge of the Society’s benefits programs to ensure proper withholdings and vendor payments.

4. Assures the appropriate confidentiality of records and conversations.

5. Responsible for compliance with all federal, state, and local corporate laws, standards and regulations, and taxes relating to employees and payroll taxes.

1. Provides financial and budget reporting in coordination with the Grants Manager and Development Department to support all grant requests.

2. Oversees the reconciliation of the monthly corporate credit card accounts.

3. Provides primary accounting of various administrative vendor accounts including company parking, corporate supplies, and shipping.

4. Evaluates products or services that support the finance and payroll functions and makes recommendations accordingly.

5. Performs other duties as necessary and/or requested.

QUALIFICATIONS:

EDUCATION:

· Bachelor’s degree in business administration, Finance, Accounting or a related field.

KNOWLEDGE, SKILLS & ABILITIES:

  • Broad knowledge of generally accepted accounting principles, legislation, and regulations affecting non-profit reporting.
  • Ability to act independently, displaying sound judgment on a day-to-day basis.
  • Ability to communicate effectively with internal and external staff, trustees, donors, and other constituents.
  • Excellent analytical skills.
  • Strong organizational skills and attention to detail.
  • Proficiency in using common management and accounting software, preferably Microsoft Dynamics Great Plains and proficiency in using Microsoft Excel for supplemental reporting.
  • Ability to demonstrate creativity in the development and improvement of finance and payroll controls and systems.
  • Ability to demonstrate a high level of fairness and trust with staff, trustees, and other external constituencies.
  • Interest in history, theatre, museum, or performing arts preferred.

EXPERIENCE:

· A minimum of five years of work experience in finance and accounting, including some payroll experience required, preferably managing these functions in a non-profit environment.
