PMB EVENT MANAGER

Flyspace Productions is a full-service event management, event AV production, and fine arts company located in Pittsburgh, PA. Our company has grown substantially over the last three years, and we are seeking to add an Event Manager who is focused on our Pittsburgh Mobile Bars (PMB) operations.

The PMB Event Manager and their team are responsible for managing the bookings, coordinating the logistics and operations, and working with senior leadership to analyze and evaluate growth strategies. This role reports to the Director of Events and would be responsible for direct supervision of at least one other person. This position also also works with our HR and hiring teams to identify, hire, and train part-time staff as servers or operations assistance as needed.

This is a full time, exempt position working out of Pittsburgh, PA. While we offer flexible scheduling and work environments, the event work and some of the hands-on work requires in-person attendance. A successful candidate in this position will have had experience working in the hospitality or bar industry, knowledge of alcohol serving and sales, and experience closely managing people and projects. This person will have an understanding of finance and business administration and be capable of creating and following a budget, analyzing sales and expense information, and distilling that information into actionable plans. This person will be familiar with a tap system, understand basic maintenance and operation, and be willing to assist on site or in the shop with the preparation, transportation, operation, and cleaning of equipment.

Job Responsibilities:

• Manage the entire event process, from initial client contact to post-event follow-up.
• Handle sales and bookings, including responding to inquiries, providing quotes, and negotiating contracts and coordinate with clients to understand their specific requirements and preferences for each event.
• Oversee product ordering, ensuring an adequate supply of beverages, mixers, and bar equipment and supplies, or other food and vending items as necessary.
• Ensure compliance with all necessary licensing and permit requirements for each event location.
• Provide operational support, including setting up and breaking down the mobile bar or concessions at each event.
• Develop and maintain relationships with vendors, suppliers, and industry partners.
• Conduct ongoing market research to identify trends, competitive offerings, and potential business opportunities.
• Schedule and manage a team of event staff, including bartenders and servers
• Train and mentor staff, ensuring they adhere to company standards and provide exceptional customer service.
• Handle any customer concerns or issues that may arise during events, aiming for swift and satisfactory resolutions.
• Prepare and analyze sales reports, performance metrics, and event feedback to identify areas for improvement.
• Stay up to date with industry trends, event planning techniques, and regulations related to mobile bar operations.
• Assist with or manage the launch of future Pittsburgh Mobile Bars projects including the planning, permitting, implementation, and operation of new programs or equipment.
• Work with Events Department on projects as assigned.

Job Qualifications:

• Experience working in a bar or hospitality industry with a focus on management and coordination.
• Understanding and expertise in the operation of bar equipment.
• Familiarity with vintage vehicles a plus.
• The ability to plan for and lead a staff.
• Understanding of basic accounting and finance operations.
• Excellent customer service skills and the ability to communicate effectively with vendors, clients, and partners.
• Outstanding organizational skills and the ability to handle multiple projects at the same time.
• Ability to operate a pick-up truck or cargo van, to tow a small trailer or be willing to learn.
• Valid driver’s license required; Ability to drive a manual vehicle a plus.
• Must be able to obtain a Responsible Alcohol Management Program (RAMP) Certification, ServSafe Certification, and Certified Food Protection Manager qualifications.
• Must be able to obtain a DOT med card and adhere to DOT requirements.

Work Setting & Physical Exertion:

• Position requires regular exposure to outdoor elements and loud noise.
• Incumbent will be required to travel to work sites as needed.
• Incumbent must be able to read, see, hear, and speak.
• Incumbent must be able to bend, stoop, crawl and climb stairs
