Flexcar is Hiring a HR UKG Specialist: Systems & Projects Near Boston, MA

Flexcar is looking for an HR Specialist to support our team in our Boston, Massachusetts office. This role is responsible for supporting our HRIS system (UKG), integrations between our people systems and various internal and external systems (vendors), and our U.S. employee benefits administration. The HR Systems Specialist role is the single threaded owner of maintaining and expanding our current capabilities while balancing a team and employee first philosophy. This assists not only with systems but providing managers and team members support while navigating and troubleshooting the functions within our HRIS environment.

What You’ll Do

HR Systems

  • Maintain, monitor, and adjust configurations within UKG Pro and UKG Dimensions and to support the needs and functions of Flexcar.
  • Support integrations with other systems, ensuring file feeds, integrations, and API’s are functioning properly.
  • Design and automate custom reporting for senior leadership and other business partners needed to facilitate Flexcar’s day to day function.
  • Inspect / monitor automated quarterly tax reporting to ensure Flexcar wage reporting is submitted to the State(s) in which we operate on-time.
  • Diagnose and troubleshoot system behavior in UKG Pro and UKG Dimensions in the event that errors occur. Work with UKG support if needed to resolve systems issued.
  • Support basic payroll functions (timecard maintenance, initiating payroll integrations, interfacing with payroll vendor to provide information and directions)
  • Collaborate globally with leaders in US, Jamaica, and India
Benefits
  • Work with external vendors (Health Insurance, Vision Insurance, 401K, Insurance provider, and Leave of Absence Administrator) to ensure proper file feed and system’s integrations. Provide manual support if needed to ensure continuity.
  • Communicate directly with benefits vendors to maintain manual enrollments for Flexcar employees, ensure automated enrollments changes are integrated correctly, and send benefits reporting to correct teams
  • Assist People and Finance teams to ensure accurate weekly completion of payroll, including tracking earnings and deductions, garnishments, and other benefits.
  • Work closely with insurance providers to manage worker’s compensation claims, ensuring timely and accurate processing
  • Work closely with People Team coordinator during hiring and termination to complete accurate systems enrollments and disenrollments
  • Maintain and update all of Flexcar’s ancillary benefit programs

People & Culture

  • Respond to inquiries assigned to this role in the People Support central inbox.
  • Conduct training sessions for employees on the use of UKG systems and features
  • Support the annual employee review process (systematically)
  • Support the annual Benefits Open Enrollment process (systematically)
  • Maintain employee files in UKG.
  • Facilitate the digital logging of annual employee handbook acknowledgments and trainings campaigns.

What drives success for this role:

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Proven experience in HR, with a focus on UKG system administration, benefits, and payroll.
  • In-depth knowledge of the UKG system and its modules.
  • Strong understanding of benefits administration and payroll processing.
  • Willingness to work in-person in our Boston, MA office 4 days per week
  • Excellent attention to detail and accuracy in data management.
  • Exceptional communication and interpersonal skills.
  • You enjoy rolling up your sleeves to assist in projects across all HR disciplines and show discretion and tact when dealing with confidential information
  • Provide leadership and direction to ensure compliance with all local, state, and federal employment-related laws and regulations
  • Collaborate closely with department heads to implement strategies and programs that develop their workforce to achieve its strategic goals while improving the overall employee experience.
  • Proactively respond to and solve employee needs with an empathy first mindset
  • Work with managers to support their team growth and hiring plans following our organizational design principles.
  • Previous experience in an early stage, fast growing startup or similar company. We are looking for a team member unafraid to tackle unsolved problems and build systems and processes from the ground up.
