Job Responsibilities

The Property Services Coordinator is responsible for the scheduling, organizing and daily dispatch of the Maintenance technicians. This role acts as the main point of contact for all incoming phone calls from customers and Property Managers and must coordinate work with technicians to ensure exceptional customer service.

Essential Duties & Responsibilities

  • Schedule and dispatch technicians to appropriate locations, according to customer requests, specifications or needs
  • Collaborate with Property Managers and customers to address questions, problems or requests for service or equipment
  • Monitor personnel, equipment locations and utilization to coordinate service and schedules
  • Receive customer work orders and effectively dispatch them to technicians
  • Maintain records of customer requests, services performed or other related dispatch information
  • Partner with Office Manager to ensure efficient processes
  • Other related responsibilities as assigned to meet business needs

Additional Duties & Responsibilities

  • Practice and adhere to FirstService Residential Global Service Standards.
  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and Standard Operating Procedures as instructed by Management.
  • Perform any range of special projects, tasks and other related duties as assigned.

Education & Experience

  • High School diploma or GED
  • 2 years of MS Office Outlook/Word/Excel experience
  • 2 years of proven customer service skills

Knowledge, Skills & Proficiencies

  • Maintenance knowledge and experience
  • Ability to prioritize work order requests and dispatch accordingly
  • Strong verbal and written communication skills
  • Exceptional attention to detail and organizational skills
  • Consistent and prompt follow-up with customers
  • Aptitude to identify inefficiencies and offer improvement strategies
  • Sufficient flexibility to handle change effectively
  • Team player with collaborative attitude
  • Exceptional problem solving and time management skills
  • Software familiarity and ability to learn
  • Understanding of the property services industry preferred
  • Scheduling and dispatch experience preferred
  • Familiarity with Microsoft CRM software preferred
  • Familiarity with the TDS Call Center preferred
  • Geographical proficiency of service area and map reading skills preferred

  • Computer, keyboard, mouse. Phone, fax, and other office equipment, as needed

  • Sitting at a desk for extended periods of time
  • Use of computer (keyboard and mouse)
  • Ability to lift up to 20 lbs
