Job Responsibilities

The Banking & Financial Records Coordinator I is responsible for processing checks through onsite electronic deposit, approve funds transfer transactions on association bank accounts, maintain purchase cards (P-Cards) and bank account records. Back-up and assist with the department as needed.

Essential Duties & Responsibilities

  • Responsible for check deposits to Associations' accounts received from Accounts Receivable
  • Responsible for verifying Click Pay reports/errors and posting of daily files
  • Responsible for retrieving and scanning monthly statements
  • Administer Purchase Cards (PCards) with setup, maintenance, monthly statement downloads and tracking P-Card reconciliation.
  • Process online banking transactions including reserve fund transfers, stop payments, ACH, and book transfers and ensure proper backup is retained
  • Filing cash receipts and batch reports daily
  • Sorting and distributing of mail daily
  • Distribute Miscellaneous Checks to GL staff weekly
  • Route banking check deposits and ensure they are sent and/or deposited to the appropriate banks and proper backup is retained
  • Assist with the distribution and tracking of audit/review proposals, drafts, and letter of representations
  • Administer financial records retention, processing, and distribution as necessary
  • Serve as a back-up for ACH/Check Positive Pay review and approval
  • Timely attendance required for work and meetings
  • Research, identify, and analyze discrepancies and recommend clear solutions
  • Assist with Special Projects as assigned
  • Assist and support other accounting and administrative duties as assigned

  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines
  • Ensure all safety precautions are followed while performing the work
  • Follow all policies and Standard Operating Procedures as instructed by Management
  • Perform any range of special projects, tasks and other related duties as assigned

Education & Experience

  • High School Diploma or equivalent certification.
  • College degree in accounting preferred
  • At least one-year previous experience in Accounting, Accounts Payable, Banking, and/or Bookkeeping preferred.

  • Proficient in speaking, reading and writing English as this position requires interfacing verbally with the public, tenants, peers and supervisors

  • Ability to prepare written reports and complete log sheets
  • Excellent general math skills
  • Ability to determine next level involvement for problem resolution
  • Must demonstrate good judgment
  • Ability to think and work independently as well as part of a team.
  • Ability to interact successfully with all levels of management
  • Proficient with various Microsoft applications such as Word, Excel, PowerPoint, MS Teams, Outlook, etc.
  • Must be able to work well under pressure and deadlines, as well as work independently
  • Comfortable working with various web applications and navigating online banking websites
