FirstService Residential is Hiring an Activities Assistant Near Beaumont, CA

Job Overview:

The Activities Assistant promotes and demonstrates the FirstService Residential community vision of enhancing neighbor-to-neighbor positive interaction by building of community spirit. This position is responsible for the implementation and oversight of creative, customized programming, community events, sponsorships/partnership programs and community volunteer programs.

Compensation: $20-24/hour

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future

Your Responsibilities:

  • Assist with the implementation of customized community events and neighborhood activities to create a personalized and unique community spirit.
  • Collaborate with the Activities Director to monitor and analyze monthly activity expenditures to ensure accurate reconciliation of monthly financial reports for the Board of Directors.
  • Supervise performance of all vendors at assigned events and programs.
  • Attend on an as-needed basis Board or Committee meetings to ensure clarification of volunteer and staff roles to community activities.
  • Create event signs, sign up sheets, tent cards, graphics, flyers, etc.
  • Event ticket sales support and organization.
  • Update community website and calendar.
  • Community Breeze management to include, but not limited to:
  • Collect Club, Group, and class articles
  • Obtain Bistro advertisement content
  • Obtain Salon advertisement content
  • Coordinate and review “Meeting Change Request Forms”
  • Revise monthly calendar, as needed
  • Update Breeze labels
  • Confirm picture caption names for Breeze photos
  • Manage all “Meeting Change Request” forms and ensure they are directed to the appropriate staff member.
  • Answer telephones.
  • Must model positive attitude and customer service skills when communicating with our clients.
  • Strong verbal and written communication skills.
  • Ensure confidentiality between FirstService Residential, Board Members, homeowners and staff.
  • Enforce all rules, regulations and policies as established by the Board of Directors.
  • Inform Activities Director of any reservations or sign-ups for excursions or events.
  • Answer basic questions that residents may have regarding facility usage and events.
  • Perform room set-ups for reserved events per Activity Director's request.

Skills & Qualifications:

  • Public charisma and ability to develop positive relationships with diverse groups.
  • Organizational and time management skills with the demonstrated ability to prioritize, attention to detail, and multi-tasking skills.
  • Ability to think and work independently and as a part of a team.
  • Use of good judgment, critical thinking, and business “savvy”.
  • Must have demonstrated computer skills to work in Excel, Word, and Outlook
  • Must be able to handle deadlines and pressure of the position
  • Must be able to work as part of a team addressing conflict and demonstrating consistent solutions to issues and concerns.
  • Must be available to work a flexible schedule to include some evenings, weekends, and holidays.

Education & Experience:

  • High school diploma or general education degree (GED).
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively to homeowners, vendors, contractors and other visitors.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
