Job Description/Title: Administrator/Administrative Assistant

Rustic Elegance, Inc. is a high-end millwork shop and custom home builder located on Cape Cod. We are a family-oriented company with flexible work hours, competitive pay rates and paid holidays. The Administrative Assistant will work directly with the owner and management team assisting in all aspects of the day-to-day operations of the company.

Job Duties

  • Answer the telephone and provide exceptional customer service to internal and external customers
  • Maintain Insurance information, including, but not limited to: Keep in contact with subcontractors with regard to expired/non-expired Certificates for Worker’s Compensation and General Liability Insurance. Keep record of certificates when a new one is received and when another one is required.
  • Assist with performing the yearly audit for the Worker’s Comp Insurance
  • Maintain accounts payable and accounts receivable records
  • Scan receipts and enter purchase information into Quickbooks
  • Solve problems associated with vendors regarding shipments, billing, and statements.
  • Order equipment and maintain service contracts on equipment
  • Act as point of contact to cleaning company regarding scheduling cleaning of clients’ homes as well as cleaning of the office

Will have the opportunity to handle other tasks, such as:

  • Monitoring expenditures, processing payment requests for reimbursement; preparing purchase orders, purchase requisitions and ensuring proper procedures for paying service providers, consultants, and contractors
  • Receiving and auditing invoices for accuracy and compliance and ensure prompt payment of company bills
  • Assisting with Human Resources related items, such as updating policies and procedures in the Employee Handbook, and assisting with the OSHA handbook and Jobsite checklists
  • Assisting with event planning for meetings, professional development, and other company wide initiatives
  • Attending meetings and take meeting notes
  • Drafting reports and correspondence
  • Performing other related duties as assigned

Schedule:

  • To start, the hours will be flexible, 20 to 40 hours, Monday through Friday, eventually becoming Full Time
  • Some overtime may be available and/or required

Qualifications/Skills:

  • Candidates must possess an Associates or Bachelor's Degree in a related field from an Accredited College or University
  • Candidates must also have a minimum of 3 to 5 years' experience working in an office setting. Experience working for a construction company is ideal but not necessary.
  • Must be an organized, detail-oriented, team player, and be motivated with a can-do attitude
  • Must be able to exercise discretion and confidentiality regarding sensitive situations
  • Must be able to take direction from leadership team and execute tasks as required
  • Must be able to work independently and exercise attention to detail
  • Must be able to read, write, and speak English
  • Must be able to learn and apply newly acquired skills
  • Must be proficient in Microsoft Office
  • Experience with Quickbooks Desktop is a plus
  • Experience with Buildertrend a plus, but not required

Benefits Package:

Paid Holidays: New Year’s Day, Memorial Day, July 4th, Labor Day, Columbus Day, Thanksgiving, (the Day after Thanksgiving is a discretionary day, depending on workload/project needs), Christmas Day

Paid Time Off - Vacation and sick time accrue based on hours worked and job status (part time vs full time)

Compensation:

Pay: $22 - $25 per hour, depending on experience

Educational Allowances:

With prior approval, industry and/or job-related educational expenses may be reimbursed. Each request will be reviewed and approved on a case-by-case basis.
