Responsibilities

This role may also be eligible to participate in a discretionary incentive program, subject to the rule governing the program. 

Position Summary:The Executive Administrative Assistant will provide support to the Investment Team of Fernwood Management LLC. The ideal candidate will be self-motivated, honest and professional; able to work in a confidential manner and with great discretion and judgment; persistence and a sense of urgency are key along with strong awareness of attention to detail.Position Responsibilities may include, but not limited to:

  • Work closely and effectively with Investment Team on a variety of administrative tasks, and responsibilities, following up appropriately
  • Complete a broad variety of administrative tasks for Investment Team including: Managing an active calendar for investment updates; and coordinating internal and external meetings
  • Perform diversified and confidential administrative duties in various aspects of business affairs with utmost tact and discretion
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on items to successful completion
  • Exercise independent judgment and make appropriate decisions without close supervision
  • Prepare email notifications and create calendar reminders for investment capital calls and capital distributions in coordination with team members
  • Pre-fill investment subscription, redemption, account opening and other investment documents and coordinate signature completion
  • Access third party data rooms and investment portals retrieving necessary documents and sending to teammates/filing as appropriate
  • Other projects or duties as assigned

Qualifications

Required Skills and Experience:

  • Associates Degree and 5 years of experience in a senior level administrative role OR High School Diploma and 7 years of experience in a senior level administrative role
  • Must demonstrate a high level of confidentiality; integrity is paramount
  • Very strong interpersonal skills and the ability to build relationships with internal and external customers, team members and stakeholders
  • Ability to be self-directed and work independently but also work well with others at all levels
  • Must possess strong organizational and multi-tasking skills; must have ability to prioritize appropriately
  • Excellent verbal and written communication skills
  • Advanced proficiency in Microsoft Office, especially in PowerPoint, Word & Excel
  • This position must pass a post-offer background and drug test

Preferred Skills and Experience:

  • Bachelor’s Degree
  • 8 plus years of administrative or assistant-like experience
  • Experience assisting an Investment Team or on a Trading Desk
